Requirements

  • Proven experience as an Executive Assistant or in a similar senior administrative role.
  • Strong organizational and prioritization skills with the ability to manage multiple stakeholders.
  • Excellent written and verbal communication skills.
  • High level of professionalism, discretion, and integrity.
  • Advanced proficiency in MS Office (Outlook, Excel, PowerPoint, Word).
  • Experience working with senior leadership in a corporate environment.

Responsibilities

  • Manage complex calendars for the CEO which include internal and external meetings.
  • Prioritize scheduling requests and resolve conflicts proactively.
  • Prepare meeting agendas, briefing materials, and presentations.
  • Attend meetings when required and capture minutes and action items.
  • Act as a primary point of contact between CEO and internal/external stakeholders.
  • Coordinate communication across leadership, teams, clients, and partners.
  • Draft professional correspondence, emails, and executive communications.
  • Handle highly confidential information with discretion and integrity.
  • Maintain organized documentation and records.
  • Support compliance with internal policies and procedures.
  • Manage end-to-end coordination across internal teams, vendors, clients, and business partners.
  • Support cross-functional initiatives and executive priorities.
  • Facilitate interactions with international and domestic stakeholders.
  • Coordinate domestic and international travel arrangements.
  • Manage itineraries, visas, accommodations, and expense documentation.
  • Support guest and delegation management, including executive visits and meetings.
