About The Position

AIMM is now hiring a Full-Time exempt position as a Permit Coordinator QC Manager. This role involves managing and coordinating the permit process, including researching, preparing, and submitting permit applications, reviewing and interpreting regulations, and tracking permit progress. The position also requires visiting sites to inspect construction activities on roadways, structures, and facilities resulting from approved permits. Responsibilities include updating permit statuses, daily monitoring of client websites for new requests, and uploading inspection pictures. Permit Coordinator Quality Control Managers are vital in ensuring products and services meet high-quality standards, particularly FDOT standards. Requirements

  • Must have a high school diploma or equivalent.
  • A minimum of 2 years of administration experience.
  • Must become Intermediate MOT (maintenance of traffic) certified within 90 days after acceptance of employment, paid by AIMM.
  • Knowledge of the access management requirements, the utility accommodations guide (2017 UAM), and the design, drainage and construction of these operations.
  • Skills in the use of inspection and assessment tools, equipment and/or instruments.
  • Knowledge of computer applications such as word processing, spreadsheet software, and electronic mail.
  • Ability to analyze and interpret construction plan data.
  • Ability to perform technical inspections from approved FDOT plans.
  • Ability to plan, organize and coordinate work assignments.

  • Must possess and maintain a valid driver's license.
  • Must be able to provide valid proof of Personal Auto Insurance Policy and be listed as an authorized driver.
  • For drivers 23 years old and older: No more than 2 moving violations, 1 at-fault accident; or no more than 1 at-fault and 1 moving violation within the last three years.
  • Drivers 70 years old and older must provide a medical certificate.
  • No driver may have any major convictions within the last five-year period.
  • For any vehicles requiring a Commercial Driver's License: Drivers must have a minimum of 1 year with appropriate CDL and experience driving similar vehicles to those scheduled.
  • Drivers must have a valid driver's license for at least 2 years from the date of issue.

Nice To Haves

  • Associate’s or Bachelor's degree in business administration or related education preferred.
  • preferably experience in maintenance management and inspections, public administration and safety industry or public works.
  • familiarity with state agencies’ permits inspections and field operations experience in the construction, infrastructure, asset maintenance, or transportation industries preferred.

Responsibilities

  • Coordinate the Utility Permits ensuring compliance with Department procedures, Florida Administrative Code Rules and the Department's Utility Accommodation Manual.
  • Develop and maintain a Permit Inspection Plan which details the permit inspection process, adherence to inspection requirements, and processes to ensure customer satisfaction.
  • Assist and coordinate with the supervisor in the operations of all Access and Drainage Permits ensuring compliance with Department Procedures, Florida Administrative Code Rules and the Department's Utility Accommodation Manual.
  • Assist supervisors to coordinate plans and construction review processes, including attending meetings representing AIMM during FDOT construction projects meetings, construction pre-work conferences, and plans review meetings.
  • Inspect all construction activities resulting from approved permits on the roadways, structures and facilities covered by the contract, which excludes any activities associated with permit processing or approval.
  • Ensure permitee adherence to approved permit requirements and Department regulations and standards.
  • Assist in all other miscellaneous permits, including general use, temporary road closure, landscaping, community aesthetic features and moving permits.
  • Overseeing the project quality control plan, ensuring all services provided by the company are in compliance, while meeting the contract’s standards and specifications established by the Florida Department of Transportation (FDOT).
  • Overseeing local agencies that are responsible for maintaining the standards provided in the FDOT’s Maintenance Memorandum of Agreement (MMOA).
  • Submitting the monthly inspection forms to each agency and FDOT and following up with corrections identified.
  • Maintaining an excel spreadsheet with all permit activities.
  • Assist AIMM’s project manager and assistant project manager on various duties.
  • Assist and perform other duties as assigned by the Project Manager and Assistant Project Manager.
  • Must be able to work full-time, 40 hours per week, with required emergency call-back duties.
  • This position will require the chosen applicant to work on multiple projects within two counties at a time, with an expected approximate time of 80% or more in the field.
  • QC and archive files that are uploaded into the Departments Electronic Data Management System (EDMS) by AIMM’s staff.
