About The Position

The Permanency Support Specialist performs daily tasks to maintain the overall workflow of the Permanency Support Department within the Enhanced Family Foster Care (EFFC) program. This role provides assistance to Foster Care and Residential staff as needed, ensuring smooth operations and compliance with agency policies and governmental regulations, including HIPAA.

Requirements

  • Associate degree or higher.
  • 1 year or more working in foster care preferred, but not required.
  • Ability to read, analyze and interpret policies and procedures related to the job.
  • Ability to write routine reports and correspondence.
  • Strong organizational skills.
  • Strong interpersonal skills and verbal and written communication skills are essential.
  • Ability to demonstrate sound decision making while modeling best practice is critical.
  • Solid skills in spreadsheet and word processing programs (MS Office Excel and Word required).
  • Proficient in Microsoft Word and Excel and in CONNECTIONS.
  • Commitment to the mission and programs of SCO Family of Services.
  • Ability to work with children and families that have histories of chemical dependency, mental illness, neglect, physical, sexual, and/or emotional abuse, different cultural backgrounds, and varying socioeconomics statuses.
  • Ability to work competently, compassionately, and without judgment with individuals who may identify as lesbian, gay, bisexual or transgender, or who may be in different stages of discovering or disclosing their sexual orientation or gender identity.
  • Ability to work varying schedules that may cause you to work in excess of your regularly scheduled hours or weekends if necessary.
  • A strong sense of empathy towards our populations served, and a passion for the field of child welfare.
  • Strong time management and teamwork skills, diligence, and resilience.

Responsibilities

  • Processes Notices of Changes and NOA’s in internal databases (ASARA and CONNECTIONS) for monthly billing.
  • Processes Census Sheets for monthly billing.
  • Assists in ACS/SSPS reconciliation for monthly care day billing.
  • Moves Notice of changes (NOC’s) to the SCO shared drive.
  • Serves as SCO liaison for submitting Social Security requests for tax purposes to ACS.
  • Submits Putative Father Registry (PFR) applications and results.
  • Gathers Service Plan Review data from Case planners and sends it to ACS.
  • Submits PFR applications to OCFS and sends responses to the CP Team.
  • Performs SSPS pre-bill checks, comparing data against the system and CONNX.
  • Prepares monthly Attorney invoices and sends out Attorney correspondence.
  • Submits Permanency Hearing Reports through LTS (Legal Tracking System).
  • Distributes Court Action summaries and Court documents to case planning staff.
  • Sends ACS/HRA reports to case planning staff.
  • Communicates monthly with case planning staff to update the internal worker list.
  • Makes copies of insurance cards and sends them to the Directors.
  • Performs assigned tasks to assist in the overall operation of the Department, which may include filing and other functions outlined by the Supervisor.
  • Ensures compliance with all agency policies, procedures, and governmental regulations, including HIPAA.
