About The Position

Wellstar is seeking a Perioperative Scheduling Specialist to support the Control Desk Coordinator in coordinating all operative scheduling for Perioperative Services. This role involves reviewing and adhering to policies and procedures related to patient scheduling for Perioperative Services, Women's OR, Out of OR cases, Anesthesia, and Pain Procedures. The specialist will receive requests via telephone, fax, and e-mail from various sources including Attendings, Residents, and clinic staff.

Requirements

  • Minimum 3 years progressive experience supporting health-related administrative and/or clerical duties.
  • Skilled knowledge of medical terminology.
  • Working knowledge of computer software systems-Databases, Spreadsheets, Word Processing, Other.

Responsibilities

  • Prepares and posts slips for scheduled procedures and relays pertinent information to CSR for case cart preparation.
  • Assigns times and rooms for procedures and enters case cart and patient information into the Operating Room Automated Scheduling System.
  • Performs various clerical tasks to support Perioperative Services.
  • Answers multi-line telephone and responds to internal requests for OR time via e-mail and fax.
  • Obtains all necessary registration information, including demographics, insurance, pre-authorizations, and precertification, prior to scheduling cases.
  • Accurately schedules all procedures/cases in Perioperative Services utilizing OR block and open time.
  • Communicates directly with the OR Desk Coordinator, Physicians, Perioperative Nurse Manager, and Charge Nurses regarding scheduling conflicts and suggests resolutions.
  • Verifies physician credentials via e-Priv and maintains current files in Ipath for current practice.
  • Collects, reviews, and edits data for statistical reports reflecting block time utilization.
  • Accepts posting slips via authorized persons and methods and schedules cases per policy.
  • Maintains OR scheduler data integrity through patient master file maintenance, scheduling information, and cancellations.
  • Works closely with practice sites, ancillary staff, and management to identify and resolve scheduling issues.
  • Interacts with all services, providing timely and accurate feedback.
  • Promotes a positive image by listening to customer needs, offering assistance, and ensuring customer satisfaction.
  • Recognizes and responds to priorities in providing service.
  • Performs assigned tasks completely and safely.
  • Maintains proficiency in required skills.
  • Provides input into the plan of operations by reporting pertinent information.
  • Leads daily quick look schedule review.
  • Performs other duties as assigned.
  • Complies with all Wellstar Health System policies, standards of work, and code of conduct.
