Job Summary: Reporting to the Operating Room Nursing Director, the Perioperative Operations Assistants are responsible to assist in the facilitation of the daily operations of the unit including the administrative and scheduling aspects of the Operating Room under the direction, guidance and supervision of the Administrative Clinical Advisor, Evening Clinical Advisor or Charge Nurse. This position requires one to work in a fast-paced environment and is responsible for the clerical and administrative duties as required by the unit. This position serves as the informational resource for clinical and non-clinical information for patients, visitors, vendors, and nursing and physician staff. The Perioperative Operations Assistants is responsible for obtaining and entering into the Perioperative Services scheduling and documentation system (PIMS) and the local white board, complete and accurate demographic scheduling, patient and physician information. This positions performance is in accordance with established policies, procedures and practices of the Medical Center, PCS and of Perioperative Services.

Requirements

  • High School diploma or GED required.
  • 1-3 years related work experience required in clerical experience in a health care setting.
  • Demonstrates an aptitude for performing detailed work and a service-oriented attitude in daily job performance.
  • Demonstrates an aptitude for sound judgment, organizational skills and ability to prioritize and coordinate responsibilities of the role.
  • Excellent interpersonal, communication and problem solving skills including telephone etiquette necessary.
  • Knowledge of Medical Terminology.
  • Basic familiarity with computers.
  • Ability to navigate at a basic level within web-based applications.

Responsibilities

  • Accurate and timely input of all patient information into the Perioperative Information Management System (PIMS). This includes follow up communication with Central Processing, Nursing leadership and physician staff.
  • Input of patient information must be constantly updated via the computer, on the daily printed OR schedule and on the local white board.
  • Responsible for overall coordination of administrative activities.
  • Monitors use and par levels of wound vacuum machines and places order to maintain par levels.
  • Orders specialty patient beds when necessary.
  • Maintenance and upkeep of staff phone numbers and all relevant medical center phone numbers.
  • Compiles daily call sheets, organizes and tracks beepers.
  • Triage all phone calls appropriately and accurately. Transferring calls, determining when and where to forward calls or who to page to acquire further information.
  • Acts as a central contact person for all callers in the perioperative area.
  • Coordinates documents and follows up on all Service Response calls and requests.
  • Responsible for initiating calls and pages to on call nursing staff, surgical staff, anesthesia, and ancillary staff during emergencies.
  • Coordinates timely pick up of all inpatients including ambulance transfers.
  • Responsible for use of tele tracking system to facilitate timely turnover of OR's.
  • Organizes blood pick up when required.
  • Takes surgical bookings of add on cases or next day surgical cases booked after 5pm and inputs the case information into PIMS.
  • Facilitates add-on case carts by communicating with Central Processing Department.
  • Communicates with patients when surgical schedule changes.
  • Attends and participates in unit staff meetings and/or other meetings as needed.
  • Maintains all paperwork supply at the main desk area and in the areas, which support staff and patients.
  • Ordering and stocking of office and kitchen supplies.
  • On boarding and training of new hires.
  • Coordinates sign in of all visitors/vendors and ensures they are wearing appropriate and accurate personal identification.
  • East Campus: Maintains oxygen tanks and glucometer data and testing.
  • Input staff assignments in PIMS for next day surgical schedule.
  • Communicates with PACU regarding changes.
  • Coordinates specimen pick up with service response.
  • Faxes overnight or weekend call sheets to West OR no later than 1:30pm.
  • West Campus: Cross-covers the Holding area UCO for breaks and lunches.
  • Rotates to weekends and holidays as necessary
