Requirements

  • High School diploma
  • Three (3) years of relevant secretarial/clerical experience
  • Knowledge of medical terminology
  • Light, accurate keyboarding skills
  • Excellent organizational, interpersonal and communications skills

Responsibilities

  • Answers patient questions to ensure understanding and patient satisfaction, or refers them to more senior level staff. Maintains confidentiality.
  • Schedules routine appointments and follow-ups for visits and procedures that do not require or have already been pre-authorized. Prepares the daily schedule. Refers inquiries regarding pre-authorizations/certifications to the Medical Secretary.
  • Maintains and receives files for the area in an organized and up-to-date manner for easy retrieval. Completes filing according to departmental procedures. Sorts and distributes documents and forms. Logs in materials with respect to time and date. Processes incoming and outgoing documents. Completes forms neatly, secures signatures, and forwards documents/forms to the correct destination. Maintains copies for files. Faxes documents according to departmental procedures.
  • Maintains supplies and cleanliness of the space, restocks supplies as needed. Notifies supervisor of any supply shortages.
  • Performs other related duties as needed by providers and supervisors.
  • May assist, provide guidance, and/or train less senior staff with completing intake related duties.
  • Prepares simple, routine memorandum letters, labels, routine manuscripts, correspondence, and other documents. Reviews work for accuracy and completeness. May maintain a routine calendar and assist in basic conference preparation.
  • Provides reception assistance, including greeting patients, answering calls, and directing requests to the proper individual. Screens telephone callers professionally, handles calls, takes messages, or directs callers to the appropriate person or area.
  • Responsible for patient check-in and check-out. Gathers patient demographic data and materials. Obtains insurance information, verifies eligibility electronically, takes pictures, and instructs patients to use Patient Secure. On subsequent visits, verifies demographic information and makes necessary edits. Collects and obtains signatures on patient-related documents (HIPAA, MSPQ, ABN, etc.). Follows up with patients, physician offices, etc., to gather missing data and materials to complete the intake process, or refers to more senior level staff.
  • Scans all necessary documents (insurance cards, lab requisitions, etc.) into the intake system.
  • Monitors the intake work queue for timely intake completion.
  • Refers patients with questions regarding insurance coverage or financial matters to the Business Office Associate based on established criteria.
  • Maintains cooperative and professional relationships with physicians, nurses, and office and clinical staff.
  • Types routine material such as forms, letters, and envelopes neatly, accurately, and according to instructions. Writes materials clearly and legibly.
