We Realize Potential in Your Story We are a multi-platform production company, social media agency, and digital media network who are currently on a quest to find a People & Operations Coordinator to join our People team - Is this your next opportunity? We’re looking for a highly organized, proactive People & Operations Coordinator to support both our People function and day-to-day business operations. This role sits at the center of the organization –helping to deliver a seamless recruiting experience while also ensuring our executives and teams operate efficiently. The ideal candidate is detail-oriented, people-focused, and thrives in a fast-paced environment. This is a hybrid role based in Los Angeles, with in-office attendance required Monday through Thursday during standard business hours and remote work on Fridays.

Requirements

  • Availability to be in office for full office hours (Monday-Thursday), with Friday a remote working day
  • 1-2 years of experience supporting recruiting coordination or HR processes preferred
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
  • Highly detail-oriented, proactive, and solutions-driven
  • Excellent interpersonal skills with a high level of professionalism and discretion
  • Strong written and verbal communication skills
  • Proven ability to build and maintain relationships across teams and with external stakeholders
  • Customer-service mindset with a focus on delivering a great experience
  • Self-starter with strong time management and prioritization skills
  • Comfortable working across multiple functions and adapting to shifting priorities
  • Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets) and Mac systems
  • Candidates must have unrestricted work authorization to work in the United States.

Responsibilities

  • Coordinate and schedule interviews across stakeholders (onsite, Google Meet, phone), ensuring accuracy and a seamless candidate experience
  • Partner closely with hiring managers to keep hiring processes efficient and on track, including driving timely feedback and scorecard completion
  • Review and shortlist candidates by evaluating resumes and advancing qualified candidates through the hiring process
  • Maintain and update the applicant tracking system (ATS), ensuring data accuracy and tracking candidate progress
  • Communicate with candidates regarding next steps, assessments, and logistical questions while maintaining professionalism and confidentiality
  • Support the full recruitment lifecycle, including light sourcing outreach, job postings, requisition setup, offer creation, and onboarding coordination
  • Manage day-to-day office operations, including coordinating team attendance, acting liaison with our office provider, and any ad-hoc in-person office needs
  • Coordinate team events, offsites, board meetings, and internal initiatives
  • Support general office and operational needs as they arise
  • Contribute to process improvements across HR and operations workflows
  • Take on ad hoc projects and special initiatives as needed
  • Provide administrative support to executives, including calendar management and meeting coordination
  • Prepare materials for internal and external meetings, including presentations and briefing documents
  • Coordinate and manage meetings with multiple stakeholders, including note-taking and follow-ups
  • Track key deliverables, follow up on outstanding items, and help drive projects to completion
  • Act as a cross-functional liaison, helping streamline communication between teams
