Requirements

  • Bachelor's degree in Human Resources, Business Administration, Management, or related field preferred.
  • 3+ years' experience in HR administration, people operations, or office coordination.
  • Familiarity with HRIS or people systems (e.g., BambooHR) and basic payroll understanding.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • High level of discretion handling confidential information.
  • Proactive, adaptable, and able to work effectively across time zones and departments.

Responsibilities

  • Help Hiring Managers prepare and issue employment offers, contracts, and welcome documents.
  • Ensure state-specific employment compliance and registrations are completed.
  • Coordinate onboarding planning: company policies, benefits overview, team introductions, role-specific training schedules, and buddy assignments.
  • Set up new employee accounts in HR and payroll systems.
  • Coordinate IT and office access (email, software, hardware, building access).
  • Facilitate completion of mandatory compliance documents (e.g., right-to-work, tax forms).
  • Track onboarding checklists and act as the main point of contact for new hires during their first weeks.
  • Coordinate voluntary and involuntary exits in HR systems and payroll platforms.
  • Ensure collection of company property (laptops, badges, etc.) and terminate system access.
  • Facilitate exit interviews and maintain confidential records, including separation agreements.
  • Process final payroll, accrued PTO, and benefits terminations in compliance with laws and policies.
  • Track deadlines for semi-monthly and bi-weekly payroll submissions, including PTO and allowances approvals.
  • Liaise with external payroll providers to resolve queries and ensure accuracy.
  • Support benefits enrollment, respond to employee queries, and manage changes during open enrollment or qualifying events.
  • Maintain accurate payroll and benefits records across all platforms.
  • Assist leadership and finance with payroll reporting.
  • Support recruitment coordination: approvals, job postings, scheduling interviews, and candidate communication.
  • Maintain and improve People Operations processes and templates for consistency across locations.
  • Handle confidential information with discretion and escalate issues to HR leadership when needed.
  • Support employee wellbeing initiatives, surveys, feedback collection, and engagement events.
  • Act as a point of contact for office supplies, and general coordination.
  • Assist with team events, onboarding sessions, and company-wide meetings.
  • Support health, safety, and facilities administration for local offices.
