About The Position

The People & Culture Coordinator will be the primary point of contact in the office for colleagues regarding People and Culture related requests and inquiries. This role involves day-to-day administration and coordination of all activities within the People & Culture Department, including maintaining confidential employee files, data input into HR systems, and preparing new hire onboarding materials. The coordinator will also manage internal communication platforms, coordinate office ordering and deliveries, and support employee-related activities and events. A key aspect of this role is to foster a positive and inclusive work environment by supporting various committees and ensuring adherence to company policies and local regulations.

Requirements

  • Diploma/Degree in Human Resources or related field is an asset.
  • Minimum of 2 years of experience in an administrative role.
  • Experience in Dayforce is a strong asset.
  • Detailed Oriented.
  • Knowledge and experience using Canva.
  • Excellent interpersonal skills with the ability to communicate with all levels of colleagues.
  • Excellent organization skills, ability to multi-task and maintain confidentiality.
  • Multicultural awareness and able to work with people from diverse backgrounds.
  • Flexible, able to embrace and respond to change effectively.
  • Self-motivated, energetic, and participative.
  • Must be legally eligible to work in Canada.

Responsibilities

  • Serve as the office point of contact for colleagues' People and Culture related requests and inquiries, including system access, benefit questions, reservation requests, and common mailbox requests.
  • Provide day-to-day administration and coordination of all activities within the People & Culture Department, including filing, photocopying, collating, mail, courier, phone, and typing correspondence, reports, charts, tables, brochures, and other collateral materials using tools like Canva.
  • Maintain a confidential, accurate, and organized filing and e-filling system for employee personnel and disciplinary files.
  • Perform data input and tracking of information into HR Systems, such as new hire files, status changes, training, benefits, pension, payroll, and Transit Pass.
  • Prepare and coordinate new hire onboarding, including paperwork completion, ID creation, access cards, access to the internal communication app, and registration requirements.
  • Manage the internal social media and communication platforms to ensure new information and events are promoted to colleagues.
  • Coordinate office ordering and deliveries.
  • Coordinate employee-related activities, monthly and annual events.
  • Communicate monthly colleague anniversaries and birthdays to Leaders and keep internal 'Pass on' Key Communique updated.
  • Support the Recognition Committee with tracking monthly nominations and pictures on the Recognition Wall.
  • Track and order travel program cards.
  • Manage the locker assignment tracking system and conduct regular audits.
  • Complete cheque processing for the hotel.
  • Understand, communicate, implement, and adhere to all People & Culture policies and procedures.
  • Support a safe working environment by ensuring local regulations are upheld for workplace health and safety.
  • Perform other duties as assigned.
