About The Position

Working under general supervision, incumbents facilitate the operation of a major project or program through administrative coordinating activities. Incumbents understand policy and procedures to determine appropriate action, reporting complex situations which fall outside the administrative scope to the appropriate supervisor for decision. Requires analytical and problem solving skills, independent judgment, collaboration and initiative to accomplish goals. May include supervisory responsibilities. The ideal applicant will have strong organizational and communication skills (both verbal and written). The ideal applicant will also have excellent typing skills and friendly telephone etiquette. The Special Program Coordinator – PCOS serves as the primary contact for patients seeking information or enrollment into the PCOS center (includes patients across OBGYN, Family and Preventative Medicine, and Internal Medicine departments). This role requires clear and effective communication with both patients and providers to maintain continuity of care and ensure the program’s success.

Requirements

  • Bachelor’s Degree (foreign equivalent or higher).
  • Two (2) years of full-time administrative experience in a clinical practice.
  • Experience scheduling meetings, managing calendars, and coordinating appointments.
  • Experience with data and spreadsheet management.
  • Experience using an EMR.
  • Proficiency in Microsoft Office Suite (i.e. Outlook, Microsoft Word, PowerPoint and Excel).

Nice To Haves

  • Experience Working in Physician Practice or Academic Medical Center.
  • Knowledge of Medical Terminology.
  • Experience verifying patient Insurance.
  • Experience using Red Cap.

Responsibilities

  • Schedule New Patient Appointments, Follow-Ups, and Verify Patient Insurance
  • Answer Phone Calls and Respond To/Relay Messages Accurately
  • Provide Guidance and Resources to Patients Regarding Referrals to Lifestyle Management, Mental Health, Fertility, and Other Treatment Options
  • Maintain and Update PCOS Patient Log
  • Maintain and Update Patient Data in Red Cap
  • Track Patient Referrals
  • Support Providers and PCOS Nurse with Administrative Tasks Including Data Entry, Faxing, and Scanning
  • Attend PCOS Team Meetings
  • Other duties as assigned.
