About The Position

We are looking for a highly driven and efficient PBX Specialist whose primary focus is keeping provider schedules full and optimized at all times. This role is critical to the success of our clinics. The number one priority is getting patients scheduled and maintaining a full schedule at least 2–3 months in advance. If you are fast, organized, and know how to take control of a phone call while delivering great service, this role is for you.

Experience in call centers, scheduling, or customer service is a plus

Responsibilities

Execute high-volume outbound calls (80%) to schedule patients, confirm appointments, and fill gaps in provider schedules
Manage inbound calls (20%), assisting patients and directing them through the phone system appropriately
Ensure provider schedules are consistently full for the next 2–3 months
Proactively identify open slots and immediately work to fill them
Navigate and manage a multi-line PBX phone system efficiently
Route patients accurately to the correct department or provider
Schedule appointments with speed, accuracy, and attention to detail
Document all interactions clearly within the system
Work closely with the front desk, providers, and leadership to maintain strong patient flow
