Requirements

  • Completion of post-secondary education in Human Resources, Business Administration, Accounting, Finance, or a related discipline
  • At least five years of experience in payroll, with leadership duties included
  • Strong proficiency in HRIS software, hands-on experience with Workday is an asset
  • Experience with Workday Payroll, Workday HCM, Workday Time Tracking, or Workday reporting is strongly preferred.
  • Strong knowledge of Canadian payroll legislation
  • Proven ability to complete reconciliations and year-end payroll activities
  • Proficiency in Microsoft Office suite required
  • Must be detail oriented, with ability to multi-task and meet tight deadlines
  • Excellent problem-solving skills and ability to adapt to new trends
  • Strong interpersonal, communication, and leadership skills

Nice To Haves

  • Payroll Compliance Practitioner (PCP) is preferred, and other designations such as CPHR, PLP, or CEBS are considered an asset
  • Experience designing, testing, or improving payroll workflows in an HRIS/payroll system is considered an asset.

Responsibilities

  • Play a pivotal role in processing in-house, full-cycle, biweekly payrolls for approximately 700 employees, ensuring accuracy and reliability in every pay period.
  • Create and maintain an organized, efficient payroll office, consistently meeting tight deadlines.
  • Provide important payroll correspondence and generate insightful departmental reports, supporting the smooth operation of the organization.
  • Uphold the highest standards of confidentiality, handling sensitive staff and financial information with integrity and professionalism.
  • Ensure payroll compliance by staying up-to-date with evolving company policies, procedures, and Federal/Provincial legislation.
  • Support payroll-related audits by providing reports, reconciliations, employee change documentation, and evidence of approvals from Workday.
  • Diagnose and resolve potential payroll errors, proactively prepare for staff pay adjustments, and manage payroll records.
  • Oversee accrual and reporting of vacation time, leave of absence, and personal days.
  • Take ownership of all payroll tasks, including source deduction remittances, retirement and savings plan contributions, year-end activities, employee status updates on HRIS, and managing employee access/accounts on the HRIS.
  • Lead the review, design, testing, and improvement of payroll processes within Workday to ensure payroll workflows are efficient, accurate, and properly controlled.
  • Act as the primary Workday payroll process lead, ensuring Workday is configured and used in a way that supports accurate payroll processing and strong internal controls.
  • Take the lead in daily administration and maintenance of the Workday system, where your attention to accuracy, efficiency, and system integrity will be valued and recognized.
  • Monitor system performance and troubleshoot issues, coordinating resolutions with internal stakeholders and external partners.
  • Identify areas for improvement in HR processes and workflows, and implement enhancements that drive organizational success and efficiency.
  • Develop and maintain Workday business processes, configurations, and documentation that align with organizational practices and compliance standards, ensuring a robust HRIS environment.
  • Produce and analyze reports and dashboards to empower leadership teams and People Resources with actionable insights for strategic decision-making.
  • Collaborate with cross-functional teams—including Payroll, Finance, IT, and People Resources—to support system updates, integrations, and ongoing optimization, paving the way for continuous growth.
  • Drive the success of system upgrades, testing cycles, and releases by coordinating requirements, validating changes, and ensuring smooth implementation.
  • Lead testing and validation of Workday payroll-related changes, including time tracking, approvals, compensation, benefits, deductions, job changes, terminations, and reporting.
  • Provide guidance and training to internal users, helping them leverage Workday’s functionality and adopt best practices for maximizing efficiency.
  • Ensure data integrity through routine audits and validation of employee and organizational data, contributing to a reliable and robust HRIS system.
  • Support ongoing improvement initiatives, utilizing Workday data and analytics to identify trends, gaps, and opportunities that drive organizational excellence.
  • Identify gaps between current payroll practices and Workday functionality, and work with stakeholders to implement practical solutions.
  • Act with integrity and transparency, embodying the organization’s values of honesty and openness in every interaction.
