About The Position

The Payroll Coordinator serves as a vital role in the overall success of the payroll function. The Payroll Analyst will assist in the facilitation of payroll processing under supervision of Payroll Manager. This is an administrative position consisting of varied assignments, the primary of which is assisting our managed payroll provider in the processing bi-weekly payroll for 3,000+ employees. This position will also play an integral role in ensuring the success of the team by providing guidance on data inputs that feed the payroll function. This takes a strong, experienced, and enthusiastic Payroll Coordinator to keep things moving in the right direction.

  • Demonstrate a proficient understanding of payroll transactions related to acquisitions, global mobility, moving & relocation, benefits administration, leave administration, equity compensation, and savings plans.
  • Experience with managing overpayments.
  • A sense of urgency in solving customer requests to ensure timely resolution and an ability to work under pressure, multi-task, and meet deadlines is required.
  • A high degree of confidentiality and sensitivity to compliance-related matters is required.
  • Experience working on day-to-day operations in conjunction with assigned project work is required.

  • Experience in Test & maintain all payroll tax updates are made to ensure compliance with all jurisdictions and Service Canada
  • Understand and Maintain the tax location code table and unemployment rates
  • Experience in ROE
  • Experience with dealing with Service Canada
  • Experience with outsource vendor to complete amended returns, where required
  • Experience on analysis of payroll/payroll tax/equity/benefits reconciliations
  • Experience on SOX controls and other GAAP related principles
  • Experience in jurisdictional tax audits and also Tax Laws
  • Expert on dealing with collective agreement negotiation
  • 3-5 years’ experience in payroll environment within large corporations at a regional and/or global level
  • Strong working knowledge of CRA requirements and provincial tax rules
  • Experience supporting multi-province or multinational environments
  • Experience with other HR information systems and payroll systems is beneficial.

  • 3–5 years of experience in Canadian payroll tax and/or tax payables

Responsibilities

  • Accountable for assisting with planning, organizing, and monitoring of all aspects of the payroll function. This includes, but is not limited to, administrative duties involving the development and maintenance of payroll systems, internal controls and records and time tracking.
  • Responsible for collecting data for general audits and special projects
  • Troubleshot, research and provide recommendations to resolve payroll issues
  • Recommend ways to optimize the payroll process while reducing time expenditure and unnecessary costs
  • Respond to employee requests/inquiries pertaining to payroll matters
  • Maintain employee confidence and protect payroll operations by keeping confidential information
  • Support year-end processes including, but not limited to, processing necessary remittance reconciliation, earning and deduction code mappings and other reviews to troubleshoot and get ahead of any discrepancies
  • Assist with retro processing to ensure all necessary adjustments are properly recorded and paid
  • Serve as liaison with HRSC for training and questions. Provide updates to team on upcoming payroll items that may drive calls
  • Maintain current knowledge of applicable federal and provincial laws, regulations and reporting requirements relating to salaries, wages, overtime, benefit plans and workers’ compensation
  • Ensure compliance with Canadian federal and provincial tax regulations related to payroll and payables
  • Review, calculate, and validate payroll taxes, including CPP, EI, and income tax deductions
  • Manage and reconcile tax-related payable transactions and remittances
  • Prepare and submit required tax filings, including T4, T4A, RL-1, and other statutory reports
  • Monitor legislative and regulatory changes impacting Canadian payroll and payables
  • Support audits and respond to inquiries from CRA and provincial authorities
  • Partner with internal teams to resolve tax discrepancies and ensure accurate setup of tax codes
  • Assist with process improvements, documentation, and internal controls
  • Provide guidance on tax treatment for bonuses, taxable benefits, and special payments
  • Coordinate with external advisors or vendors as needed
  • Maintain supporting documents for internal/external auditors and respond accurately, thoroughly and timely to requests for data
