About The Position

We are seeking a detail-oriented Payroll Specialist with strong experience in full-cycle payroll processing and multi-state payroll tax compliance. This role is responsible for ensuring accurate and timely payroll processing using ADP systems, maintaining compliance with federal, state, and local regulations, and supporting payroll-related audits and reporting. The ideal candidate will collaborate closely with HR and Finance teams to ensure payroll accuracy and continuous process improvement.

Requirements

  • Strong attention to detail with high accuracy in data entry and reconciliation

  • Ability to handle confidential information with discretion and professionalism
  • Effective interpersonal and communication skills (written and verbal)
  • Proficiency in Microsoft Excel
  • Ability to work collaboratively across departments
  • Minimum of 3+ years of full-cycle payroll processing experience required
  • Hands-on experience with ADP payroll systems (Workforce Now strongly preferred)
  • Strong knowledge of multi-state payroll tax laws and compliance requirements
  • Experience with year-end filings (W-2, ACA/1095, EEO reporting, etc.)

Nice To Haves

  • Certified Payroll Professional (CPP) designation
  • Experience with payroll reconciliations and general ledger integration
  • Familiarity with internal or external payroll audits

Responsibilities

  • Assist the Payroll & Benefits Manager in processing weekly and bi-weekly payroll using ADP systems
  • Perform full-cycle payroll processing, including data entry, review, reconciliation, and final transmission
  • Ensure compliance with all federal, state, and local payroll tax regulations across multiple states
  • Respond to and resolve payroll tax notices and employee payroll-related inquiries
  • Set up new hires in ADP and ensure proper I-9 compliance documentation
  • Maintain accurate payroll records, including earnings, deductions, and garnishments
  • Partner with HR and Finance teams on payroll-related matters such as benefits, compensation changes, and audits
  • Support year-end payroll processes including W-2s, ACA (1095) filings, and EEO reporting
  • Assist with system updates, testing, and process improvements within ADP
  • Support setup of new states, business entities, and payroll tax jurisdictions
  • Assist with 401(k) administration, including reporting, filings, census data, and audit support
  • Ensure confidentiality and security of payroll data at all times
  • Perform other related duties as assigned
