About The Position

The Payroll Specialist is responsible for ensuring accurate and timely processing of payroll for all employees in compliance with federal, state and provincial regulations. This role requires strong attention to detail, confidentiality, and the ability to work collaboratively with HR and Finance teams.

Requirements

  • 3 years of high-volume Canada and US payroll processing experience
  • Action oriented / initiative approach to work
  • Ability to work independently and efficiently; exercise initiative, resourcefulness, and good judgement
  • Ability to maintain a high level of confidentiality.
  • Ability to communicate effectively with others in both oral and written form.
  • Willingness and ability to work in a team, under pressure and meet deadlines

Nice To Haves

  • Canadian (PCP or PLP) and/or US (CPP) certification
  • Previous experience with Workday, UKG PRO and Kronos Dimensions preferred
  • Highly proficient in the use of the Microsoft Office Suite of products: Excel, PowerPoint, Word, Access, Outlook

Responsibilities

  • Execute accurate and timely full-cycle payroll processing in compliance with provincial, state and federal legislation across multiple provinces (ON, QC and BC) and US states.
  • Process weekly, biweekly, semi-monthly and monthly payrolls for hourly and salaried employees.
  • Validate complex payroll components, including bonuses, retroactive pay, taxable benefits, vested stocks and off-cycle payments to ensure accuracy and compliance
  • Support payroll reconciliations, month-end, quarter-end and year-end close activities
  • Verify payroll data including hours worked, deductions, benefits, and taxes.
  • Assist with the Canada and US annual year-end reconciliation process (T4, RL1 and W2), ensuring complete accuracy and timeliness
  • Maintain accurate employee records in payroll systems, including new hires, terminations, and changes
  • Respond to employee inquiries regarding pay and deductions
  • Ensure compliance with labor laws, tax laws, collective agreements and SOC’s controls
  • Analyze payroll data to ensure it is posted correctly to the GL and reconciled to reports/remittances
  • Calculate and process Canada’s monthly and quarterly worker’s compensation remittance
  • Generate payroll reports for management
  • Participate in internal and external audits with government and provincial agencies
  • Comply with provincial and federal legal requirements by keeping current on existing and new legislation and policies
  • Assist with the ROE processing
  • Liase with HR, Finance and various stakeholders to improve processes and support payroll-related projects
  • Collaborate with payroll team members to support skill development, knowledge sharing, and overall team effectiveness
