About The Position

The Payroll Specialist performs payroll, accounting, and administrative duties to support various departments within Quest. Comply with all state and federal regulations as it pertains to timekeeping, tax payments, garnishments, or levies. This position ensures accurate, timely employee pay and regulatory compliance by processing timekeeping data, calculating wages, deductions (tax/benefits), and maintaining records. The Payroll Specialist will address payroll discrepancies, support audits, and manage employee�s inquiries, often requiring knowledge of multi-state wage and hour laws. The chosen candidate will be coordinating with the Finance and HR departments to process payroll for new employees as well as those terminating employment. The Payroll Specialist manages highly confidential material and will be held accountable to the utmost integrity.

Requirements

  • 5-7 years of experience in payroll processing, with emphasis on manual timesheets.
  • Proficient in ADP Workforce Now software, Microsoft Excel and Word.
  • Basic math, bookkeeping, and accounting skills.
  • Must have state/federal prevailing wage expertise.
  • Strong attention to detail and excellent organizational skills required.
  • Ability to keep information confidential.
  • Must have the ability to multi-task in a challenging environment.
  • Motivated initiative-taker, able to work on own with minimum supervision.

  • Must be able to work flexible hours, including hours beyond normal schedule when necessary.
  • Perform all other duties as assigned.
  • Applicant must successfully complete company background screening including DMV as well as pre-employment screening.

Responsibilities

  • Collect and verify hours submitted by employees.
  • Coordinate timekeeping/payroll systems.
  • Calculate regular, overtime, holiday, and paid time off hours.
  • Understand when to access a meal penalty on for California employees.
  • Calculate prevailing wage hours when applicable.
  • Process company (including out of state) payroll twice a month: manually and electronically process timecards from all departments in Quest and its acquired companies, input and transmission into ADP and verify accuracy of overall payroll.
  • Use tools provided to double check entry into ADP.
  • Reconciling ADP payroll reports for accuracy.
  • Addressing, researching, and resolving payroll discrepancies.
  • Provide support for employee inquiries related to payroll issues.
  • Maintaining employee records related to payroll data.
  • Provide relevant and accurate reports when asked.
  • Assisting with internal and external audits relating to payroll.
  • Collaborate with Human Resources and Accounting teams.
  • Ensure compliance with relevant laws and internal policies.
  • Upload child support garnishments and state/federal garnishments (i.e Franchise Tax Board and IRS) to ADP for processing.
  • Track vacation and personal time off accruals utilizing ADP.
  • Process quarterly Multiple Worksite Report (MWR), also known as the BLS 3020 form in accordance with state laws.
  • File and organize paperwork with attention to detail and within audit compliance.
