About The Position

Pason is seeking a temporary Payroll Specialist to join the HR team for a 16-month term. Reporting to the Manager, Human Resources, Canada, you will be the sole administrator of salary and hourly payroll for 400+ employees across multiple provinces and 2 different companies.

Requirements

  • Experience and working knowledge of payroll systems (UKG experience would be an asset)
  • Understanding of Employment Standards in across Canada
  • Deep understanding of Canadian payroll tax laws and regulations
  • Attention to detail, especially in documentation and data entry
  • Excellent organizational and time management skills
  • Ability to deal with sensitive situations
  • Solid experience with MS Word and Excel software
  • Ability to adapt and learn new processes quickly

  • A minimum of 5 years of previous experience in payroll administration, preferably as a sole administrator
  • Payroll Certification (National Payroll Institute) is essential

Responsibilities

  • Manage end‑to‑end payroll processing for salaried and hourly employees on a semi‑monthly cycle, ensuring accuracy in earnings, deductions, benefits, and statutory requirements
  • Process long‑term incentive payouts, annual bonuses, and off‑cycle payments, ensuring appropriate approvals, tax treatments, and documentation
  • Ensure timely and accurate entry and maintenance of employee data (new hires, transfers, promotions, salary changes, leaves, terminations) while maintaining data integrity across payroll systems
  • Process quarterly director fee payments, including calculations, tax treatments, and reporting
  • Oversee the submission and validation of project timesheets for SR&ED reporting, ensuring documentation meets compliance standards
  • Prepare and reconcile payroll reports (payroll journals, cost allocations, general ledger entries) and support month‑end and quarter‑end close in collaboration with Finance
  • Reconcile and remit all statutory deductions (CPP, EI, tax) and other required remittances to CRA in accordance with federal and provincial guidelines
  • Complete all year‑end activities, including T4 preparation and distribution, ROEs, and year‑end reconciliations for employees and directors
  • Participate in quarterly and annual payroll audits, providing documentation, explaining variances, and implementing corrective actions
  • Maintain internal controls, documentation, and audit trails for all payroll processes to ensure compliance with internal policies and external regulations
  • Administer WCB reporting and premium remittances, reconcile premiums, manage rate changes, and support WCB audits as needed
  • Administer monthly reconciliation of benefit amounts for all employees
  • Provide monthly, quarterly, and annual reconciliation of payroll‑related liability accounts with accurate supporting documentation
  • Collaborate with HR, Finance, external auditors, and government agencies to ensure payroll practices align with regulatory requirements and organizational policies
  • Provide timely support, expertise, and guidance to internal stakeholders on payroll‑related inquiries, processes, and best practices
