About The Position

The Payroll Specialist (Total Rewards) manages HEC’s pan-Canadian payroll, ensuring accuracy and compliance with applicable legislations. They are responsible for the maintenance, administration, and evaluation of HEC’s payroll and compensation programs and functions. They provide analytical and technical support for the development and implementation of a competitive total rewards program, contributing to an exceptional employee experience and retention. The Payroll Specialist (Total Rewards) is the first point of contact for employee inquiries related to payroll and benefits. They are responsible for the integrity of compensation practices, ensuring consistency and equity in the application of programs and policies.

Requirements

  • Bachelor’s degree in accounting, business administration, human resources, or a related discipline or equivalent knowledge and expertise is required.
  • National Payroll Institute certification, such as PCP or CPM is required.
  • Experience with ADP-Workforce Now payroll platform is required.
  • Minimum three (3) years’ experience overseeing payroll, benefits and compensation as a specialist or as part of a generalist role
  • Advanced computer software skills in Microsoft Office suite, and Excel in particular.

  • Experience managing a pan-Canadian payroll (preferred).
  • Bilingual in French and English is preferred (English communications at Advanced “C” level and French communications at Intermediate “B” level).

Responsibilities

  • Process full-cycle payroll for Canadian employees using ADP Workforce Now, including salaried and hourly employees.
  • Liaise with People & Culture team members to ensure the accuracy of data entry related to employee changes that affect payroll (leaves, transfers, employment status changes, etc.).
  • Calculate earnings and deductions corresponding to employee changes such as overtime, parental leave top-ups, and pension contributions; and maintain documentation to support calculations, ensuring compliance with Canadian federal and provincial employment and payroll legislation.
  • Validate payroll previews to ensure accurate and complete payroll.
  • Administer year-end payroll activities including T4s and T2200s, and year-end reconciliations, ensuring government filings are submitted within deadline.
  • Complete Service Canada filings including Records of Employment and Employment Insurance claims.
  • Address payroll-related inquiries in a timely manner and with a customer-oriented approach.
  • Continuously evaluate, suggest, and implement improvements to payroll processes.
  • Maintain a spreadsheet for group benefits and calculate semi-monthly rates.
  • Liaise with benefits providers to ensure the accuracy and timeliness of changes related to employee movements or changes to employee circumstances.
  • File pension forms including enrolment, departures, leaves, etc.
  • Prepare and submit monthly pension contribution remittances.
  • Complete the year-end pension reconciliation using the CAAT Pension Plan Data Collection Tool.
  • Manage the Workers Compensation premiums and claims across different provinces and territories.
  • Support employees in escalating customer service concerns to the benefits providers as necessary.
