The Payroll Coordinator I is responsible for overseeing all aspects of payroll processing and administration for the organization. This role involves coordinating with the Finance and Human Resources departments, managing Timekeeping systems to maintain data integrity and confidentiality, and becoming a subject matter expert in the FieldFlo timekeeping system to assist field personnel with questions and troubleshooting.

Requirements

  • Proficient in MS Office with advanced knowledge of MS Excel.
  • Working knowledge of timekeeping software such as FieldFlo.
  • Excellent time-management skills.
  • Self-motivated.
  • Strong organization skills.
  • Attentive to detail.
  • Ability to communicate effectively, both verbal and written with customers and employees at all levels.
  • Ability to understand and follow specific procedures and directions.

Responsibilities

  • Oversee all aspects of payroll processing and administration.
  • Coordinate with Finance and Human Resources departments.
  • Manage Timekeeping systems to maintain data integrity and confidentiality.
  • Become a subject matter expert of the FieldFlo timekeeping system to answer questions and troubleshoot issues for the field.
  • Export reports from FieldFlo daily for PM review and import into Vista.
  • Pull PTO and Floating Holiday requests from the Employee Portal to enter in Vista.
  • Process daily Vista payroll batches.
  • Make necessary updates to Vista payroll entries based on PM approval notes.
  • File [email protected] emails properly after addressing.
  • Generate weekly text from FieldFlo for employees to review and confirm their hours and per diem.
  • Balance the Daily Timesheet Approval report to the Daily Timecard Entry Vista report each Monday.
  • Notify the corporate PR team that payroll is ready for processing.
  • Train and mentor supporting staff, providing guidance and best practices.
  • Perform other duties as assigned.
