About The Position

The Payroll Associate will ensure accurate processing and recording of company’s payroll, provide timely and accurate financial information, and participate in daily data entry, payroll processing, month-end and quarter-end financial deadlines.

Requirements

  • Manage workflow to ensure all payroll transactions are processed accurately and timely.
  • Understand proper taxation of employer paid benefits, pre-taxable and non-taxable calculations.
  • Process correct garnishment calculations and compliance with state requirements.
  • Execute time and attendance imports and interface with payroll.
  • Submit wage payment, tax and bank files to third party vendors.
  • Perform ad hoc financial and operational reporting as needed internally and externally.
  • Experience with multi-state and high volume of payroll processing.
  • Strong Proficiency in Excel and payroll reconciliations.
  • Strong Knowledge of federal and state regulations.
  • Ability to communicate with all levels of management and field offices.
  • Strong work ethic, flexible work schedule to accommodate payroll processing, monthly and quarterly deadlines as needed.
  • High degree of professionalism to deal with sensitive and confidential material.
  • 2 to 3 years processing payroll from data entry to payroll file submission.

Responsibilities

  • Process weekly and biweekly US and Canada payroll, including Austin Lane timesheet uploads into JDE, coordination for approvals and corrections.
  • Audit and review new hire, terminations, employee changes, and tax set-up for accurate payroll processing.
  • Perform JDE calculations for gross to net payroll, create journal entries, and transmit wage payments and ACH bank files.
  • Handle Union and Rate Set-up by reviewing Collective Bargaining Agreements to update JDE tables, coordinating with local offices, project managers, and the legal department for missing data.
  • Review and set up garnishments in accordance with state laws, coordinating with the Legal Department.
  • Audit and verify payroll in accordance with state, local, province, and federal wages, as well as CBA agreements, union benefits, fringes, 401K, and prevailing wages.
  • Assist with identifying, analyzing, and resolving payroll and wage and hour issues for employees.
  • Run ad hoc reports for business needs, including workers' compensation, accounting reconciliations, and miscellaneous reports for management.
  • Handle sensitive and confidential information, ensuring compliance with RailWorks policies, union contracts, and applicable legal requirements.
  • Prepare Accounts Payable check requests to remit payments to third-party agencies.
  • Cross-train and act as a payroll processor backup for other payrolls when team members are out of office.
  • Reconcile end-of-month and quarterly reports for workers' compensation.
  • Submit monthly payments for Union and quarterly payments for Washington worker’s compensation, if applicable.
  • Reconcile GL accounts against vouchers for monthly and quarterly payments.
  • Process and reconcile ADP Quarterly Tax filings for US and Canada.
  • Work on projects and system testing as needed to comply with regulations or union set-up.
  • Maintain business registration and research pending tax agency questions for State and SUI payroll accounts.
  • Perform Quarterly Washington Workers Comp reconciliation and remit payments.
