About The Position

The Payroll Associate ensures timely and accurate payroll processing and assists with payroll-related reporting and compliance. This role involves processing semi-monthly payroll for U.S. (multi-state), Canada, and international employees, ensuring compliance with country, federal, and state regulations. Key responsibilities include reviewing and verifying timesheets, earnings, and deductions, responding to employee payroll inquiries, collaborating with HR on new hires, terminations, and compensation adjustments, and maintaining accurate payroll records. The associate will also prepare payroll reconciliations for benefits, ensure compliance with payroll regulations, and assist with special payroll projects such as year-end reporting and system upgrades. Additionally, this role requires preparing month-end reconciliations of payroll-related general ledger accounts, identifying and explaining variances, keeping payroll policies current, generating and analyzing payroll reports, and leading year-end payroll activities including W-2 preparation and distribution.

Requirements

  • Associate’s degree or 2+ years of payroll experience.
  • Working knowledge of payroll laws and regulations.
  • Analytical and problem-solving skills.
  • In-depth understanding of payroll processes.
  • Ability to process accurate data while meeting deadlines.
  • Ability to handle confidential information.
  • Ability to communicate effectively with employees, HR, Finance, and external agencies.
  • Strong Excel skills.

Nice To Haves

  • Bachelor’s degree in accounting, finance, or related field.
  • Experience with payroll systems such as UKG.
  • Experience processing multi-state, Canadian, or international payroll is a plus.

Responsibilities

  • Process semi-monthly payroll for U.S. (multi-state), Canada, and international employees, ensuring compliance with country, federal, and state regulations.
  • Review and verify timesheets, earnings, and deductions.
  • Respond to and support employees on payroll inquiries, providing clear explanations and resolving issues promptly.
  • Collaborate with the HR department to process new hires, terminations, and compensation adjustments.
  • Maintain payroll records and ensure data accuracy.
  • Prepare payroll reconciliations for benefits.
  • Ensure compliance with federal and state payroll regulations.
  • Assist with special payroll projects, including year-end reporting, system upgrades, and process improvements.
  • Prepare month-end reconciliations of payroll-related general ledger accounts in our accounting system to the payroll system.
  • Identify and explain variances in payroll accounts month to month & quarter to quarter.
  • Responsible for keeping payroll policies and flowcharts current.
  • Generate and analyze payroll reports to support finance, tax filings, and compliance audits.
  • Lead in year-end payroll activities, including the preparation and distribution of W-2s or other tax forms as well as year-end reconciliations.
