About The Position

The Payroll Assistant will support payroll practices for Nutrition Services. This role involves reviewing, correcting, and maintaining payroll records using an automated timekeeping system, processing leave requests, tracking absences, and preparing various payroll reports. The assistant will also input schedules, assist with incentive programs, and respond to payroll-related inquiries.

Requirements

  • High School Diploma or GED equivalent.
  • Proficient in the use of a personal computer, Microsoft Office applications, e-mail, internet and departmental-specific applications, etc.
  • Ability to communicate with diverse internal and external publics.
  • Ability to speak, read and understand the English language.

Nice To Haves

  • Competency in basic accounting with a minimum of three (3) years experience in payroll functions is preferred.

Responsibilities

  • Review, correct and maintain ancillary payroll records using an automated timekeeping system.
  • Meet department and payroll deadlines.
  • Calculate vacation time, weighted averages, and other various calculations.
  • Process leave (sick, personal and vacation) requests and transfer them to the period totals report.
  • Track absences to comply with district and department policy.
  • Maintain accurate and up-to-date payroll files.
  • Communicate with the District payroll office to remain informed on payroll updates and changes.
  • Prepare payroll adjustment report.
  • Prepare and submit other payroll reports, such as the Overtime Report.
  • Input schedules to the automated timekeeping system.
  • Aid in the confirmation and compensation of all incentive programs.
  • Answer external and internal payroll inquiries concerning hourly employees.
  • Answer inquiries concerning employee leave balances.
  • Support the department/district with regular and reliable attendance.
  • Follow district/department policies, procedures, and guidelines.
  • Perform other duties as assigned by the department director or designee.
  • Use good body mechanics and follow safe working procedures including infection control.
  • Report any unsafe condition to a manager or supervisor.
  • Demonstrate no on-the-job injuries due to a lack of good safety practices.
  • Report on-the-job accidents immediately to the manager or supervisor and complete an accident report.
