About The Position

The selected candidate will provide general clerical support and specialized payroll and procurement support in the Business Office. This individual must respond efficiently to payroll and general procurement requests by internal and external constituents and work collaboratively as a member of the Business Office in proactively anticipating problems and relevant needs. The Payroll and Procurement Assistant reports to the Executive Director of Business and Financial Operations The internationally recognized Illinois Mathematics and Science Academy (IMSA) develops creative, ethical leaders in science, technology, engineering, and mathematics. As a teaching and learning laboratory created by the State of Illinois, IMSA enrolls academically talented Illinois students (grades 10–12) in its advanced, residential college preparatory program. It also serves thousands of educators and students in Illinois and beyond through innovative instructional programs that foster imagination and inquiry. Requirements

  • Associate’s Degree and three (3) years professional experience or an equivalent combination of education and experience
  • Experience in supporting and processing basic accounting transactions
  • Proficiency and understanding of computerized accounting and payroll systems
  • Excellent communication and interpersonal skills
  • Excellent organizational skills
  • Ability to communicate with internal and external customers, staff, and students
  • Ability to adapt to a work environment that requires learning and acquisition of skills to successfully fulfill the performance responsibilities and duties

Nice To Haves

  • Experience at a state agency or academic environment
  • Experience with State of Illinois pension system(s)

Responsibilities

  • Process all payroll input functions
  • Balance payroll reports
  • Maintain orderly and accurate payroll records
  • Prepare bank deposits
  • Assist the procurement function including but not limited to placing Amazon orders, following-up with vendors, and initial contract preparation
  • Process weekly procurement voucher transfers to State of Illinois comptroller
  • Support procurement with management of contract timelines
  • Assist with support of student registration and fee collection as needed
  • Respond to service requests of internal and external customers in a pleasant and efficient manner
  • Demonstrate a willingness to serve as an active and contributing member of the Academy.
  • Other duties as assigned.
