About The Position

The Payroll and HRIS Specialist is responsible for accurate, timely payroll processing company-wide and for the day-to-day administration of the HRIS/HCM platform (Paycor). This role owns system data integrity, builds and maintains reports for HR and Finance stakeholders, and serves as the go-to resource for payroll and system questions from employees and managers across all locations. This person also serves as backup support for the Regional HR Business Partners, stepping in during absences or peak periods. The ideal candidate is highly detail-oriented, comfortable working across both payroll and systems administration, and able to troubleshoot data issues independently.

Requirements

• 2–4 years of combined payroll processing and HRIS/HCM administration experience.
• Bachelor's degree in Human Resources, Business, Accounting, or a related field; relevant experience may be substituted for a degree.
• Hands-on HCM/payroll platform administration experience required; Paycor experience preferred.
• Strong Excel skills, including pivot tables and formulas for reporting and reconciliation.
• Working knowledge of federal, state, and local payroll tax and wage-and-hour regulations.
• Exceptional attention to detail and comfort working independently with sensitive data.
• Strong analytical and troubleshooting skills; able to identify and resolve system and data issues without heavy oversight.
• Comfortable stepping into front-line HR support when backing up a Regional HR Business Partner.

Responsibilities

• Process full-cycle payroll company-wide, including regular runs, off-cycle payments, corrections, garnishments, and deductions.
• Review and audit time and attendance data prior to each payroll run for accuracy.
• Process leave-of-absence (LOA) payments, including short-term disability and FMLA pay, ensuring correct deductions.
• Prepare and reconcile payroll-related general ledger entries in partnership with Accounting.
• Support year-end payroll processes, including W-2 preparation and ACA reporting.
• Respond to payroll inquiries from employees and managers in a timely, professional manner.
• Serve as the primary administrator for the HCM system (Paycor), maintaining accurate employee data across HR, payroll, and benefits modules.
• Process all new hire, status change, and termination transactions within the system.
• Build and maintain standard and ad hoc reports for HR, Finance, and leadership.
• Configure and test system updates, new modules, and integrations; troubleshoot data or workflow issues as they arise.
• Maintain system security settings, user access levels, and approval workflows.
• Serve as the internal point of contact for the HCM vendor on support tickets and system enhancements.
• Conduct regular audits to ensure data consistency between HRIS, payroll, and benefits systems.
• Reconcile HSA, FSA, 401(k), and other benefit deductions against carrier and system records.
• Identify and correct data discrepancies proactively, before they affect payroll or reporting.
• Maintain documented processes and job aids for payroll and system procedures.
• Serve as backup coverage for Regional HR Business Partners during absences, leave, or peak workload periods.
• Provide front-line employee relations and general HR support to a region on an interim basis as needed.
• Assist with onboarding, off-boarding, and basic HR administrative tasks when covering for a Regional HRBP.
• Escalate complex employee relations matters to the VP of Human Resources or the relevant Regional HR & Certified Payroll Manager as appropriate.
• Ensure payroll practices comply with federal, state, and local wage-and-hour and tax laws.
• Stay current on payroll tax regulations and HCM system updates affecting compliance.
• Support internal and external payroll audits with accurate documentation and reporting.
• Other duties as assigned.
