About The Position

This role combines payroll processing, accounts payable support, and general office administration to ensure smooth day-to-day operations. You will manage weekly payroll for a small team, support invoice and payment processing, and provide essential administrative support in a quiet, fast-paced office. Requirements

  • At least 2+ years of experience in a payroll or bookkeeping role.
  • Hands-on experience with payroll processing, preferably weekly payroll.
  • Experience using QuickBooks Desktop (2024 or similar).
  • Proficiency in Microsoft Office, particularly Excel and Outlook.
  • Strong data entry skills with a high level of accuracy and attention to detail.
  • Ability to communicate clearly and professionally with employees, vendors, and leadership.
  • Comfort managing multiple responsibilities in a fast-moving, detail-driven environment.
  • Experience working with and editing PDF documents.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Ability to work independently and handle sensitive information with discretion.
  • Practical knowledge of payroll, accounts payable, accounting, and bookkeeping processes.

Nice To Haves

  • Experience using Excel for creating and updating spreadsheets, reports, and tracking documents.
  • Comfort working in QuickBooks and similar accounting software environments.
  • Proven ability to support both payroll and accounts payable functions concurrently.
  • Experience supporting onboarding, new hire documentation, and applicant tracking.
  • Demonstrated reliability and consistency in meeting deadlines for weekly payroll and payables.

Responsibilities

  • Process weekly payroll for approximately 30–50 employees, ensuring accuracy, completeness, and timely submission.
  • Review and verify timesheets, job codes, and supporting details before processing payroll.
  • Enter and maintain payroll data within the system, promptly identifying and resolving discrepancies.
  • Communicate with employees, foremen, and leadership to collect, clarify, and confirm payroll information.
  • Maintain accurate and up-to-date payroll records while safeguarding the confidentiality of all employee data.
  • Support weekly accounts payable processes, including tracking purchase orders, invoices, delivery tickets, and receipts.
  • Enter invoice data into the accounting system and maintain accurate, organized accounts payable records.
  • Communicate with vendors to request information, clarify charges, and resolve discrepancies related to invoices or payments.
  • Assist with organizing and preparing documentation required for payment processing.
  • Answer incoming calls and assist with general office inquiries in a professional and helpful manner.
  • Receive, log, and manage deliveries to the office.
  • Support onboarding activities, including new hire orientation and tracking employee information.
  • Scan, file, and organize documents both physically and electronically to maintain orderly records.
  • Create and update documents using Excel, Word, and PDF tools to support payroll, accounts payable, and administrative needs.
  • Assist with tracking applicants and supporting recruiting-related activities.
  • Perform general data entry and provide additional administrative support as needed.
  • Maintain strict confidentiality of employee and company information at all times.
