About The Position

The Payroll Administrator is responsible for the accurate, timely, and compliant processing of payroll while providing day-to-day support to a small payroll team. This role processes and oversees end-to-end payroll processing, statutory filings, reconciliations, audits, and year-end activities, while acting as a subject-matter expert for payroll legislation, system configuration, and process improvement.

Requirements

  • Minimum of 2+ years of extensive Canadian full-cycle payroll processing experience, including hourly, salaried employees and unionized employees.
  • Minimum of 2+ years of hands-on experience with major payroll systems with UKG Pro.
  • Deep knowledge of Canadian payroll legislation (federal and provincial), statutory requirements, and compliance obligations.
  • Proven expertise in statutory remittances and year-end activities, including T4/T4A preparation, reconciliation, and submission.
  • Experience in supporting payroll staff, including training and workload planning.
  • Strong analytical skills, including variance analysis, reconciliations, and identifying payroll discrepancies.
  • Demonstrated process improvement mindset, with experience enhancing payroll procedures, controls, and system workflows.
  • High attention to detail, strong problem-solving ability, and comfort managing multiple deadlines in a fast-paced environment.
  • Minimum 5 years of progressive payroll experience, including end-to-end payroll processing.
  • Prior experience leading or mentoring payroll staff.
  • Strong working knowledge of Canadian payroll legislation and statutory requirements.
  • Hands-on experience with a major payroll system (UKG Pro, ADP Ceridian).
  • PCP designation completed or in progress

Responsibilities

  • Manage and process full-cycle payrolls on a bi-weekly basis for salaried and hourly employees, ensuring accuracy, timeliness, and compliance with all legislative requirements.
  • Oversee statutory remittances and filings, including income tax, CPP, EI, garnishments, and other mandatory deductions.
  • Coordinate and complete year-end payroll activities, including T4/T4A preparation, reconciliation, and submission.
  • Ensure payroll practices comply with federal and provincial legislation, internal policies, and audit requirements.
  • Review payroll reports, variance analyses, and reconciliations to identify and resolve discrepancies.
  • Provide support to a team of two Payroll Administrators.
  • Review team payroll work for accuracy and completeness and provide corrective guidance as needed.
  • Support training, cross-training, and ongoing development of payroll staff.
  • Assist with workload planning, prioritization, and coverage to ensure continuity of payroll operations.
  • Partner with HR, Finance, and HRIS Systems to support system enhancements, upgrades, and payroll-related projects.
  • Develop, document, and maintain payroll procedures and internal controls.
  • Identify opportunities to streamline payroll processes, improve efficiency, and enhance controls.
  • Serve as an escalation point for complex payroll inquiries, including retroactive adjustments, terminations, leaves, and special payments.
  • Provide clear guidance to employees and managers on payroll policies, pay statements, deductions, and statutory requirements.
  • Collaborate closely with Finance on payroll reconciliations, accruals, and reporting.
