We are seeking a Payroll Administrator to join our team! The Payroll Administrator is an integral resource and is responsible for ensuring the accurate and timely processing of payroll for all employees. This role requires strong knowledge of payroll systems, federal, state, and local tax compliance, prevailing wage requirements, and reporting. The Payroll Administrator will also serve as a key point of contact for both field and office employees regarding payroll inquiries. The ideal individual for this role will have a high attention to detail, work with a sense of urgency, and demonstrate an understanding of the importance of communication and relationship-building in achieving individual and organizational goals. This position will be based out of our Lexington, KY headquarters.

Requirements

  • Bachelor’s degree in Accounting or equivalent experience preferred
  • 2+ years of experience in payroll administration (construction industry background preferred) or an accounting role
  • Strong knowledge of payroll tax regulations and compliance
  • Experience with prevailing wage and OCIP reporting
  • Proficiency in Microsoft Office products (Excel, Word, Outlook)
  • Excellent communication and interpersonal skills with the ability to interact effectively with both field and office personnel
  • High attention to detail, accuracy, and confidentiality
  • Ability to remain flexible and adapt to changing circumstances outside of direct control

Responsibilities

  • Process weekly payroll for all employees, ensuring accuracy and compliance with company policies and federal/state regulations
  • Maintain payroll records and employee data within the payroll system (Coins)
  • Ensure compliance with federal, state, and local tax laws, including preparation and filing of payroll tax reports
  • Prepare and maintain prevailing wage and OCIP (Owner Controlled Insurance Program) reports
  • Collaborate with Human Resources and Accounting to reconcile payroll, benefits, and related deductions
  • Respond to payroll-related questions from field and office employees with professionalism and clarity
  • Identify and resolve payroll discrepancies in a timely manner
  • Assist with audits, year-end reporting, and special payroll projects as needed
  • Continuously monitor payroll processes for efficiency and recommend improvements
