The Payroll / Accounts Payable Manager is responsible for overseeing the organization's payroll and accounts payable functions while ensuring financial integrity, compliance, operational efficiency, and exceptional internal and external customer service. This role manages the end-to-end payroll process, supervises accounts payable operations, develops process improvements, and leads a high-performing team in a fast-paced environment. The Payroll / Accounts Payable Manager serves as a key business partner across departments, ensuring accurate payroll administration, timely vendor payments, strong internal controls, and continuous process enhancement.

Requirements

  • Strong knowledge of payroll tax regulations, wage and hour laws, and accounting principles.
  • Experience managing payroll processing, AP operations, vendor administration, and financial controls.
  • Proficiency with payroll, ERP, and accounting systems.
  • Advanced Excel and financial reporting skills.
  • 5+ years of progressive experience in payroll and accounts payable management.

Responsibilities

  • Lead the execution and organization of overseeing and maintaining the financial integrity of the payroll function.
  • Lead the execution of weekly payroll processes, ensuring accuracy and timeliness.
  • Process weekly and monthly union reporting and payment in alignment with IWA agreement.
  • Understand the current federal, state, and local payroll regulations, tax laws, and reporting requirements.
  • Maintain payroll policies, procedures, and best practices that ensure legal compliance and operational effectiveness.
  • Liaise with Corporate Vendor Registration and Contracts Administration teams to ensure vendors are appropriately reviewed, approved, and added to company systems in a timely manner.
  • Assist with month-end closing procedure for all Accounts Payable related tasks (e.g. AP accruals, vendor reconciliation, etc.).
  • Ensure vendors are accurately established and maintained within the accounting system.
  • Maintain complete vendor records, including documentation, updates, tax forms, and supporting information.
  • Maintain organized, accurate, and compliant AP records in accordance with company policies and record retention requirements.
  • Analyze invoice processing, vendor setup, payment activities, and related transactions to identify irregularities, risks, or errors.
