About The Position

The Payments Coordinator is responsible for providing client support by processing vendor and client payments for the Energy and Fuel Programs. The Payments Coordinator ensures the receipt of documentation and processes payments in an accurate and timely manner.

Requirements

1-3 years’ experience in Accounting, Finance, Fiscal or Energy Conservation program administration required.
High School or Equivalent
Good organizational, interpersonal oral and written communication skills.
Ability to work independently and as a team in a fast paced, detail oriented and environment.
Proficient computer skills required in basic computer software and data collection systems.
Good attention to detail.
Sensitivity to needs of low income and elderly families required

Nice To Haves

Experience with client advocacy via Massachusetts energy consumer rules and regulations.
Bilingual skills (English/Spanish, English/Khmer English/Portuguese)

Responsibilities

Receive, verify, and enter detailed and accurate documentation for all applicant categories in order to process payments to vendors, clients and contractors in a timely manner as determined by program funding source.
Ensure payments are processed, balanced and reported within the time frame established.
Analyze and apply payments to specific invoices.
May prepare, distribute, reconcile and monitor invoices, accounts receivable and accounts payable for energy conservation programs.
Research and respond to internal and external inquiries on a variety of budget accounts receivable and payable issues.
Answer calls and assist with questions regarding payments from both vendors and clients.
Research and update client account numbers, name and address from vendor reject list.
Recruit and retain deliverable vendors and serve as their main contact.
Maintain annual contracts with vendors, and ensure all information is up to date.
May negotiate with fuel vendors and utility companies for emergency deliveries, restoration of services, and termination prevention.
Prepare and maintain detailed accurate client records (paper and database) for audit purposes.
Follow all funding source protocols and/or regulations for processing client applications.
Prepare and process weekly Fuel Assistance check runs ensuring that all payments are issued in accordance with regulations.
Transfer and receive transfers of eligible client applications to and from other fuel assistance agencies when client relocates during program year.
May receive all client consumption data from vendors and manually enter into fuel assistance database.
Prepare large mailings for Fuel Assistance program as needed.
