About The Position

We’re looking for a Patient Workflow Coordinator who is part air-traffic controller, part problem-solver, and 100% committed to making the patient experience smoother. In our perinatal care environment, there are a lot of moving pieces—and you’ll be the person helping make sure they all land where they’re supposed to. If you’re organized, proactive, calm under pressure, and secretly love a good workflow, or checklist, we should talk. This is a full-time opportunity working on-site at our Perinatal Associates of Central Oregon (PACO) clinic in Bend, OR. The position has an expectation of 40hrs per week (Mon - Fri) and we are proud to offer an attractive benefits package. Our Patient Workflow Coordinator recruiting pay range starts at $25/hr.

Requirements

  • Two years of medical office experience required.
  • High School Diploma/GED required.
  • High level of attention to detail to ensure accurate records.
  • Strong personal work habits with a high level of accountability and self-management skills that enable desired outcomes.
  • Easily able to adapt and maintain composure, effective at time priority and management, and able to respond to feedback constructively.
  • Strong communication skills, a teamwork mindset, and well-developed interpersonal capabilities that enable successful interactions with others.
  • Engages well with the team/patients through respectful and inclusive conduct.

Responsibilities

  • Templating for physician and sonographer schedules including review of all department appointments and referrals to ensure that the correct patient, assigned appointment, insurance field, and referring doctor is included.
  • Acting as the “go to” on site at the Bend clinic for team members and providers.
  • Receive, review, and process patient referrals from external healthcare providers or patients.
  • Verify and confirm referral completeness, including required documentation and medical records.
  • Contact referred patients to schedule initial appointments, ensuring alignment with provider availability.
  • Coordinate appointment times with appropriate clinical teams and ensure necessary pre-visit preparations are completed.
  • Verify patient insurance coverage and eligibility.
  • Referral tracking to be able to understand how and where referrals are coming in.
