The Patient Unit Secretary provides clerical, receptionist, and customer service on patient care units while maintaining confidentiality. This role involves transcribing patient care orders, scheduling tests and procedures, obtaining patient care equipment and supplies, participating in patient admissions, discharges, and transfers, greeting visitors and staff, maintaining patient location records, communicating with other departments, ordering and restocking supplies, maintaining a clean work environment, and assisting on other units or with patient transport as needed.

Requirements

  • High school education and 1 year of clerical experience
  • Demonstrated legible writing skills
  • Demonstrated verbal communication skills
  • Basic computer skills

Responsibilities

  • Transcription of patient care orders.
  • Schedules tests and procedures with other departments.
  • Completes and processes requisitions for tests, procedures and equipment.
  • Obtains patient care equipment and/or supplies as requested by nurses and/or physicians.
  • Notifies department of equipment that is in need of repair.
  • Participates in patient admissions, discharges and transfers, according to unit requirements.
  • Update patient care forms, e.g. patient census and diet order listing.
  • Greets and receives visitors and staff in a professional manner, giving appropriate directions and guidance.
  • Provides courteous and accurate telephone coverage.
  • Takes and delivers messages.
  • Triages problems to appropriate person or department.
  • Maintains record of patient location when off unit.
  • Communicates and works effectively with other departments on patient, staff and unit related matters.
  • Follows directions of nurses, physicians and other authorized personnel during emergencies.
  • Orders supplies/forms, assures their arrival and restocks appropriately.
  • Maintains clean and orderly work environment.
  • Provides assistance on other units as necessary.
  • Assists with patient transport as needed.
  • May orient new Patient Unit Secretaries.
