About The Position

The Patient Services Specialist is responsible for managing patient referrals, locating appropriate therapists, and coordinating patient care. This role involves significant communication with referral sources, patients, and internal teams to ensure smooth admissions and ongoing care. The specialist will also handle administrative tasks such as documentation, reporting, and maintaining office organization. The position requires a detail-oriented individual with strong organizational and communication skills, capable of working under pressure and managing multiple tasks.

Responsibilities

  • Locate a therapist to provide treatment for the referral.
  • Locate new therapists available for new referrals.
  • Communicate with referral source (RS) of outcome of admission.
  • Make decisions choosing the best matched therapist for the patient.
  • Create therapist’s work-list and assign patients based on quota.
  • Receive and process patient referrals and gather all required information and documents needed.
  • Prepare and fax physician notifications.
  • Process orders from medical software to the physician and receive same orders when signed.
  • Follow up on orders needing signatures to continue patient care.
  • Manage Discharge documentation and notifications.
  • Make decisions to make referral a non-admission, and submit to waiting list.
  • Maintain a clean and organized office environment at all times.
  • Process medical record requests.
  • Send out and receive satisfaction surveys.
  • Verify payer source.
  • Enter notes into CubHub or other medical software.
  • Communicate with the patient’s Primary Care Giver (PCG), within forty-eight hours, to explain staffing and admissions process.
  • Keep documentation in CubHub.
  • Communicate with case managers, therapy directors and business office specialist to solve patient care issues.
  • Submit monthly reports as directed: staffing, productivity, patient waiting list, referred outpatient list.
  • Maintain a positive and professional attitude at all times when interacting with RS, PCG, doctor’s office personnel, agency clients, visitors, or THERAPY 2000 personnel.
  • Be flexible and able to perform a wide variety of administrative support functions, including data entry, documentation, printing reports, filing, typing, and note taking.
  • Perform all duties in compliance with agency policies and procedures.
