About The Position

Provides support with the daily activities of a medical office including filing, telephone coverage, appointment scheduling, registration, and patient eligibility.

Requirements

  • High School Diploma or equivalent.
  • Ability to effectively interact with physicians, patients and other staff members.
  • Ability to effectively read, write and type clear messages electronically and verbally.
  • Demonstrates knowledge of proper, safe, efficient usage of current office equipment and software.

Nice To Haves

  • Medical Office experience preferred.
  • Experience with working with Native American and other diverse communities.
  • Experience with working with RPMS, Electronic Health Records or equivalent data-based systems.

Responsibilities

  • Routinely demonstrate superior customer service skills.
  • Transfer calls to physicians and nurses when medically indicated.
  • Accurately takes messages and conveys information to the recipient.
  • Obtains current patient information from established and new patients.
  • Schedules appointments and re-schedules appointments as needed.
  • Scans information into Electronic Health Record (EHR).
  • Categorizes, dates, and labels medical documents.
  • Scans medical documents per protocol.
  • Accurately enters/updates patient information in the practice management system.
  • Assists patient with completing paperwork when necessary.
  • Identifies payer source, verifies insurance eligibility, verifies financial status and assigns correct pay type.
  • Check in patients and notes patient arrival in EHR.
  • Accurately pre-screens medical/dental records.
  • Prints schedules for upcoming appointments.
  • Verifies insurance eligibility and obtains authorization for dates of service.
  • Reviews Practice Management System for needed updated demographics and consent forms.
  • Identifies patients by date of birth and name in RPMS, BMW scheduler or EHR.
  • Assist and manage the No Show policy by sending letters to patients when necessary and documents within the file.
  • Accurately imports registration documents into patient's electronic health record.
  • Performs prescreening process for add-on appointments.
  • Answers telephone in a timely and polite manner.
  • Communicates with customers in a courteous, professional, cooperative and mature manner.
  • Recognize and respond per protocol to violent/abusive situations, bomb threats, and emergency situations.
  • Protects/observes patient confidentiality per policies and procedures, CFR 42 part 2, and all pertinent HIPAA requirements.
  • Other duties as assigned within scope of work.
