Responsible for aspects of front office management and operation as assigned. This role requires a high level of public contact and excellent interpersonal skills. The Patient Services Representative is responsible for complete and accurate patient registration, pre-certification, charge capture, and accurately coding diagnoses given by physicians. They are also responsible for posting all payments and balancing with computer reports at day end. This role arranges for patient pre-payments and enforces financial agreements prior to providing service. The representative gathers charge information, codes, enters into the database, completes the billing process, and distributes billing information. They file insurance claims, assist patients in completing insurance forms, and process unpaid accounts by contacting patients and third-party payers. This position serves as a liaison between the patient and medical support staff, greets patients and visitors courteously, checks in patients, verifies and updates necessary insurance information, and obtains required signatures. The role also involves maintaining the appointment book, providing front office phone support, screening visitors, and responding to routine requests for information. Additional duties include gathering and accurately coding outpatient charges, processing vouchers and private payments, researching address verification, processing mail return statements, and acquiring billing information for all doctors for all patients seen in practice. Cashiering functions, including monitoring and balancing the cash drawer daily, preparing daily cash deposits, and receiving payments from patients are also key responsibilities. The representative works with patients in securing prepayment sources or financial agreements, assists with outpatient coding and error resolution, processes edits and customer service requests, identifies trends, and communicates problems to management. They update the patient account database, maintain and update physician schedules, schedule surgeries and appointments, answer questions regarding appointments and testing, assemble patient charts, update patient profiles, and oversee the waiting area. The role assists patients with questions on insurance claims, disability benefits, home health care, and medical equipment. They process benefit correspondence and insurance forms, assist patients in completing forms for pre-certification, and follow up with insurance companies to ensure coverage approval. The representative posts all actions, maintains permanent records of patient accounts, answers patient questions regarding their accounts, confirms workers’ compensation claims, prepares disability claims, and follows up with insurance companies to ensure claims are paid. They maintain files with referral slips and authorizations, research information for outpatient billing, code procedures and diagnoses, key charge information, process and distribute billings, pull charts for appointments, deliver and file charts, pick up lab reports and correspondence, check for misfiled charts, maintain orderly files, file medical reports, purge obsolete records, and destroy outdated records. They create new patient charts, repair damaged charts, assist in locating and filing records, and work with medical assistants to route patient charts. The role collects payments at time of service, reviews accounts for timely payment, performs collection actions, evaluates patient financial status, establishes payment plans, and makes recommendations regarding collection agencies. They identify and resolve patient billing complaints, follow up on accounts, and participate in educational activities. The representative gathers and verifies superbills, enters charge and payment information, verifies accuracy of coding and patient insurance status, prints and verifies daily reports, backs up and closes computer files, registers new patients, updates financial information, and maintains strict confidentiality.
