The position also requires posting all payments, balancing computer reports at day end, and maintaining a high level of public contact with excellent interpersonal skills. The Patient Services Representative arranges for patient pre-payments and enforces financial agreements prior to providing service. They gather charge information, code, enter into the database, complete the billing process, and distribute billing information. This role also involves filing insurance claims, assisting patients with insurance forms, and processing unpaid accounts by contacting patients and third-party payers. The representative acts as a liaison between the patient and medical support staff, greets patients and visitors courteously, checks in patients, verifies and updates insurance information, and obtains necessary signatures. They assist patients with ambulatory difficulties, maintain the appointment book, follow office scheduling policies, and provide front office phone support as needed. The role includes screening visitors, responding to routine information requests, gathering and coding outpatient charges, processing payments, researching address verification, and assisting with mail return statements. The Patient Services Representative acquires billing information for all doctors for all patients seen in practice, performs cashiering functions, prepares daily cash deposits, receives payments, codes and posts payments, and maintains required records. They work with patients to secure prepayment sources or financial agreements, participate in account resolution, and assist with outpatient coding and error resolution. The role processes edits and customer service requests within specified time frames, identifies trends, communicates problems to management, and updates patient account databases. They maintain and update physician schedules, schedule surgeries and appointments, answer questions regarding appointments and testing, and assemble patient charts. The representative updates patient profiles, oversees the waiting area, coordinates patient movement, and assists patients with questions on insurance claims, disability benefits, home health care, and medical equipment. They process benefit correspondence and insurance forms, assist patients in completing forms for pre-certification, and follow up with insurance companies to ensure coverage approval. The role posts all actions, maintains patient account records, answers patient questions regarding accounts, confirms workers’ compensation claims, prepares disability claims, and follows up with insurance companies on claim payments. They maintain files with referral slips and medical authorizations, research information for outpatient billing, code procedures and diagnoses, and key charge information into the system. The representative processes and distributes billings, assists with outpatient coding and error resolution, pulls and files charts, picks up lab reports and correspondence, checks for misfiled charts, maintains orderly files, files medical reports, purges obsolete records, and destroys outdated records. They create new patient charts, repair damaged charts, assist in locating and filing records, and work with medical assistants to route charts. The role follows medical records policies and procedures, collects payments at time of service, reviews accounts for timely payment, performs collection actions, evaluates patient financial status, and establishes payment plans. They review accounts for collection agency assignment, identify and resolve billing complaints, and participate in follow-up on accounts until zero balance. The representative participates in educational activities, gathers and verifies superbills, enters charge and payment information, prints and verifies daily reports, backs up and closes computer files, registers new patients, updates financial information, and maintains confidentiality. As a representative of Prisma Health Clinical Department, they are expected to maintain a neat and professional appearance, demonstrate commitment to serve, and uphold office manual guidelines.
