Responsible for aspects of front office management and operation as assigned. This role requires a high level of public contact and excellent interpersonal skills. The Patient Services Representative will be responsible for complete and accurate patient registration, pre-certification, charge capture, and accurately coding diagnoses given by physicians. They will also be responsible for posting all payments and balancing with computer reports at day end. This position arranges for patient pre-payments and enforces financial agreements prior to providing service. The role involves gathering charge information, coding, entering into a database, completing the billing process, and distributing billing information. It also includes filing insurance claims, assisting patients with insurance forms, and processing unpaid accounts by contacting patients and third-party payers. The Patient Services Representative acts as a liaison between the patient and medical support staff, greets patients and visitors courteously, checks in patients, verifies and updates insurance information, and obtains necessary signatures. They assist patients with ambulatory difficulties, maintain the appointment book, and provide front office phone support. The role also involves gathering, coding, and posting outpatient charges, processing vouchers and private payments, researching address verification, and helping to process mail return statements and outgoing statements. The Patient Services Representative acquires billing information for all doctors for all patients seen in practice, performs cashiering functions including monitoring and balancing the cash drawer daily, and prepares daily cash deposits. They receive payments from patients, issue receipts, code and post payments, and maintain required records, reports, and files. This role works with patients in securing prepayment sources or financial agreements, participates with other staff to achieve account resolution, and assists with outpatient coding and error resolution. They process edits and Customer Service and Collection Requests for resolution within specified time frames, identify trends, and communicate problems to management. The Patient Services Representative updates the patient account database, maintains and updates current information on physician’s schedules, and schedules surgeries, ancillary services, and follow-up outpatient appointments and admissions. They answer questions regarding patient appointments and testing, assemble patients’ charts for the next day visit, and update profiles on all patients, ensuring completeness and accuracy. The role oversees the waiting area, coordinates patient movement, and reports problems or irregularities. They assist patients with questions on insurance claims, obtaining disability insurance benefits, home health care, medical equipment, surgical care, etc. The Patient Services Representative processes benefit correspondence, signatures, and insurance forms to expedite payment of outstanding claims and assists patients in completing necessary forms to obtain hospitalization or surgical pre-certification from insurance companies. They follow up with insurance companies to ensure coverage is approved, post all actions, and maintain a permanent record of patient accounts. They answer patient questions and inquiries regarding their accounts, confirm all workers’ compensation claims with employees, and prepare disability claims in a timely manner. The role follows up with insurance companies to ensure claims are paid as directed, maintains files with referral slips, medical authorizations, and insurance slips, and researches all information needed to complete the outpatient billing process, including getting charge information from physicians. They code information about procedures performed and diagnosis on charges, key charge information into an on-line entry program, and process and distribute copies of billings according to clinic policies. The Patient Services Representative assists with outpatient coding and error resolution, pulls charts for scheduled appointments in advance, and delivers, transports, sorts, and files returned charts. They pick up lab reports, dictations, X-rays, and correspondence, continually check for misfiled charts and refile according to the filing system, and maintain orderly files. The role files all medical reports, purges obsolete records and files in storage, and destroys outdated records following established procedures for retention and destruction. They make up new patient charts, repair damaged charts, and assist in locating and filing records. The Patient Services Representative works with medical assistants and other staff to route patient charts to the proper location and follows medical records policies and procedures. They collect payments at the time of service for daily outpatient visit services, review each account via computer to ensure patient’s accounts are being paid on a timely basis, and perform collection actions including contacting patients by telephone and resubmitting claims to third-party reimburses. The role evaluates patient financial status and establishes budget payment plans, reviews accounts for possible assignment to a collection agency, and makes recommendations to the Clinical Dept. Practice Manager. They identify and resolve patient billing complaints, participate with other staff to follow up on accounts until zero balance or turned over for collection, and participate in educational activities. The Patient Services Representative gathers and verifies superbills for the specified practice on a daily basis, enters all charge and same-day payment information for patient visits and hospital patients, verifying accuracy of coding, charging, and patient insurance status. They print daily reports, verifying charge entry balancing at day end, back up and close computer files on a daily basis, logging as appropriate (i.e., closing all batches in accordance with policy). The role registers new patients after verifying patient status on computer inquiry, updates financial information as indicated, and maintains strictest confidentiality. They participate in educational activities and perform related work as required. As a representative of Prisma Health Clinical Department, they are expected to maintain a neat and professional appearance, demonstrate commitment to serve at all times, and uphold guidelines set forth in the office manual.
