Responsible for aspects of front office management and operation as assigned. This role involves complete and accurate patient registration, pre-certification, charge capture, and accurately coding diagnoses given by physicians. The position also handles posting all payments, balancing computer reports at day end, and requires a high level of public contact and excellent interpersonal skills. The representative arranges for patient pre-payments and enforces financial agreements prior to service, gathers charge information, codes, enters into the database, completes the billing process, and distributes billing information. They file insurance claims, assist patients with insurance forms, and process unpaid accounts by contacting patients and third-party payers. This role serves as a liaison between the patient and medical support staff, greets patients and visitors courteously, checks in patients, verifies and updates insurance information, and obtains necessary signatures. The position assists patients with ambulatory difficulties, maintains the appointment book, follows office scheduling policies, provides front office phone support, and screens visitors. Responsibilities include gathering, coding, and posting outpatient charges, processing vouchers and private payments, researching address verification, processing mail return statements, and acquiring billing information. The role performs cashiering functions, prepares daily cash deposits, receives payments, codes and posts payments, and works with patients on financial agreements. It also assists with outpatient coding and error resolution, processes edits and customer service requests, identifies trends, updates patient account databases, and maintains physician schedules. The representative schedules surgeries, ancillary services, and follow-up appointments, answers questions regarding appointments and testing, assembles patient charts, updates patient profiles, oversees the waiting area, and assists patients with insurance claims and benefit-related questions. They process benefit correspondence, signature, and insurance forms, assist with hospitalization or surgical pre-certification, and follow up with insurance companies. The role posts all actions, maintains patient account records, answers patient inquiries, confirms workers’ compensation claims, prepares disability claims, and follows up on claim payments. Maintaining files with referral slips, medical authorizations, and insurance slips is also required, along with researching information for outpatient billing and coding procedures and diagnoses. The representative keys charge information into the on-line entry program, processes and distributes billings, pulls charts in advance, delivers, transports, sorts, and files charts, picks up lab reports, dictations, X-rays, and correspondence. They check for and refile misfiled charts, maintain orderly files, file medical reports, purge obsolete records, and destroy outdated records. New patient charts are created, damaged charts are repaired, and assistance is provided in locating and filing records. Collaboration with medical assistants and other staff to route patient charts is expected, along with following medical records policies and procedures. The role collects payments at time of service, reviews accounts for timely payment, performs collection actions, evaluates patient financial status, establishes payment plans, reviews accounts for collection agency assignment, identifies and resolves billing complaints, and follows up on accounts. Participation in educational activities, gathering and verifying superbills, entering charge and payment information, printing and verifying daily reports, backing up and closing computer files, registering new patients, updating financial information, and maintaining confidentiality are also key duties. As a representative of Prisma Health Clinical Department, maintaining a neat and professional appearance, demonstrating commitment to service, and upholding office manual guidelines are expected. Requirements

  • High school diploma or equivalent OR Post-high school diploma.
  • No previous experience required.
  • Basic understanding of ICD-9 and CPT coding preferred.
  • Current Prisma Health team members with 1 year of Prisma Health experience in this job profile will be accepted (in lieu of education requirements).

Nice To Haves

  • Associate degree in technical specialty program of 18 months minimum in length preferred.
  • Multi-specialty group practice setting experience preferred.
