Responsible for aspects of front office management and operation as assigned. This role requires a high level of public contact and excellent interpersonal skills. The Patient Services Representative will arrange for patient pre-payments and enforce financial agreements prior to providing service. They will gather charge information, code, enter into the database, complete the billing process, and distribute billing information. This role also involves filing insurance claims, assisting patients with insurance forms, and processing unpaid accounts by contacting patients and third-party payers. The representative acts as a liaison between the patient and medical support staff, greets patients and visitors courteously, checks in patients, verifies and updates insurance information, and obtains necessary signatures. They will also provide front office phone support, screen visitors, and respond to routine requests for information. Additionally, the role involves gathering, coding, and posting outpatient charges, processing payments, researching address verification, and assisting with mail returns and outgoing statements. The representative will acquire billing information for all doctors for all patients seen in practice, perform cashiering functions, prepare daily cash deposits, and receive payments from patients. They will work with patients in securing prepayment sources or financial agreements, participate in account resolution, and assist with outpatient coding and error resolution. This position processes edits and customer service and collection requests within specified time frames, identifies trends, communicates problems to management, and updates patient account databases. They maintain and update physician schedules, schedule surgeries and appointments, answer questions regarding appointments and testing, and assemble patient charts. The representative updates patient profiles, oversees the waiting area, coordinates patient movement, and assists patients with questions regarding insurance claims, disability benefits, home health care, and medical equipment. They process benefit correspondence and insurance forms to expedite payment, assist patients in completing forms for hospitalization or surgical pre-certification, and follow up with insurance companies to ensure coverage approval. The role involves posting all actions, maintaining patient account records, answering patient account inquiries, confirming workers’ compensation claims, preparing disability claims, and following up with insurance companies to ensure claims are paid. They maintain files with referral slips, medical authorizations, and insurance slips, research information for outpatient billing, code procedures and diagnoses, and key charge information into the system. The representative processes and distributes billings, assists with outpatient coding and error resolution, pulls charts for scheduled appointments, and delivers, transports, sorts, and files returned charts. They pick up lab reports, dictations, X-rays, and correspondence, check for misfiled charts, maintain orderly files, file medical reports, purge obsolete records, and destroy outdated records. New patient charts are made, damaged charts are repaired, and assistance is provided in locating and filing records. The representative works with medical assistants and other staff to route patient charts and follows medical records policies and procedures. They collect payments at the time of service, review accounts for timely payment, perform collection actions, evaluate patient financial status, establish payment plans, and make recommendations for collection agency assignment. They identify and resolve patient billing complaints, participate in follow-up on accounts, and participate in educational activities. The representative gathers and verifies superbills, enters charge and payment information, verifies accuracy, prints daily reports, balances charge entry, and backs up and closes computer files daily. They register new patients, update financial information, maintain confidentiality, and perform related work as required. As a representative of Prisma Health Clinical Department, they are expected to maintain a neat and professional appearance, demonstrate commitment to serve, and uphold office manual guidelines. Performs other duties as assigned.
