The Patient Services Representative is responsible for complete and accurate patient registration, pre-certification, charge capture, and accurately coding diagnoses given by physicians. They also handle posting all payments, balancing computer reports at day end, arranging for patient pre-payments, and enforcing financial agreements prior to providing service. This position acts as a liaison between patients and medical support staff, greets patients and visitors courteously, checks in patients, verifies and updates insurance information, and obtains necessary signatures on forms. The role involves maintaining the appointment book, providing front office phone support, screening visitors, and processing outpatient charges. Additionally, the Patient Services Representative handles cashiering functions, prepares daily cash deposits, receives payments, codes and posts payments, and works with patients to secure prepayment sources or financial agreements. They also participate in account resolution, assist with outpatient coding and error resolution, process edits and customer service requests, identify trends, and communicate problems to management. The role includes updating patient account databases, maintaining physician schedules, scheduling appointments and admissions, answering patient questions, assembling patient charts, updating patient profiles, overseeing the waiting area, and assisting patients with various insurance and benefit-related questions. They process benefit correspondence, signature, and insurance forms to expedite payment of outstanding claims, and assist patients in completing forms for hospitalization or surgical pre-certification. The position involves following up with insurance companies to ensure coverage approval, posting all actions, maintaining patient account records, answering account-related questions, confirming workers’ compensation claims, preparing disability claims, and following up on claim payments. They maintain files with referral slips, medical authorizations, and insurance slips, and research information needed for outpatient billing. The role involves coding procedure and diagnosis information, entering charge information, processing and distributing billings, and pulling/filing charts. They also pick up lab reports, dictations, X-rays, and correspondence, check for misfiled charts, maintain orderly files, purge obsolete records, and make up new patient charts. The Patient Services Representative works with medical assistants and other staff to route charts and follows medical records policies. They collect payments at time of service, review accounts for timely payment, perform collection actions, evaluate financial status, establish payment plans, and make recommendations regarding collection agencies. The role involves identifying and resolving patient billing complaints and following up on accounts until zero balance or turned over for collection. They participate in educational activities, gather and verify superbills, enter charge and payment information, verify accuracy, print and balance daily reports, and back up computer files. New patients are registered, and financial information is updated, maintaining strict confidentiality. The role requires a neat and professional appearance, commitment to service, and adherence to office manual guidelines. This is a non-management job that will report to a supervisor, manager, director, or executive.
