The Patient Services Representative is responsible for complete and accurate patient registration, pre-certification, charge capture, and accurately coding diagnoses given by physicians. They are also responsible for posting all payments and balancing with computer reports at day end. This role acts as a liaison between the patient and medical support staff, greeting patients and visitors courteously, checking them in, verifying and updating insurance information, and obtaining necessary signatures. The position involves maintaining appointment books, providing front office phone support, screening visitors, and processing outpatient charges. Responsibilities include cashiering functions, preparing daily cash deposits, receiving payments, and maintaining records. The role also involves working with patients to secure prepayment sources or financial agreements, participating in account resolution, and assisting with outpatient coding and error resolution. Additionally, the Patient Services Representative processes edits and customer service requests, identifies trends, and communicates problems to management. They update patient account databases, maintain physician schedules, and schedule surgeries and appointments. The role involves answering patient questions about appointments, testing, insurance claims, disability benefits, and home health care. They assemble patient charts, update profiles for completeness and accuracy, oversee the waiting area, and coordinate patient movement. The position requires processing benefit correspondence and insurance forms to expedite payment, assisting with pre-certification, and following up with insurance companies. They post all actions, maintain permanent records of patient accounts, and answer patient inquiries. The role also involves confirming workers’ compensation claims, preparing disability claims, and following up on claim payments. Maintaining files, researching information for billing, coding procedures and diagnoses, and keying charge information are also part of the duties. Processing and distributing billings, pulling and filing charts, picking up reports, and ensuring orderly files are included. Obsolete records are purged and outdated records are destroyed according to procedures. New patient charts are made, damaged charts are repaired, and assistance is provided in locating and filing records. The Patient Services Representative works with medical assistants and other staff to route charts and follows medical records policies. They collect payments at time of service, review accounts for timely payments, perform collection actions, and evaluate patient financial status to establish payment plans. Recommendations are made regarding accounts for collection agencies. Patient billing complaints are identified and resolved. The role involves participating in educational activities, gathering and verifying superbills, entering charge and payment information, and verifying accuracy. Daily reports are printed, and computer files are backed up and closed. New patients are registered, and financial information is updated. Strict confidentiality is maintained. The position requires a neat and professional appearance, a commitment to serve, and adherence to office manual guidelines. Performs related work as required and other duties as assigned.
