Requirements

  • High school graduate or equivalent education.
  • Two year’s clerical experience in a clinical or health care setting preferred.
  • Must have familiarity with medical terminology and anatomy.
  • Demonstrated knowledge of office practices and procedures.
  • Demonstrates ability in the care and handling of patients in all groups, including but not limited to, consideration of the special needs and behaviors of each group.
  • Must be able to type 40 wpm.
  • Must possess a valid Oregon driver's license.

Responsibilities

  • Supervising the daily activities of the medical reception staff.
  • Utilizing established procedures to schedule patients and assist in providing care for patients as appropriate.
  • Ensuring efficient and effective work flow of patients during scheduled clinic hours through joint planning and problem solving with reception and clinic staff.
  • Collaborating with immediate supervisor to establish, define and refine department goals and objectives consistent with Clinic’s Mission and demonstrates satisfactory progress towards these goals and objectives.
  • Assisting Operations with staff work schedules, handling time off requests, processing timesheets and monitoring absenteeism and tardiness. Working with Operations to ensure proper coverage in all departments.
  • Calculating individual patient charges for services; collecting payment and/or explaining payment process.
  • Recording receipt of fees in practice management system.
  • Promoting a strong belief in Aviva Health’s philosophy, purpose, mission and ideals.
  • Exhibiting the ability to make effective decisions based on verifiable and measurable data/criteria.
  • Promoting positive customer relations and service to both internal and external customers by providing excellent customer service to all patients in a non-discriminatory confidential, professional, friendly manner that builds dignity for each individual customer.
  • Responding to co-workers needs and requests in a respectful, friendly and prompt manner.
  • Establishing and maintaining effective working relationships with patients and coworkers.
  • Displaying a high level of initiative, effort and commitment towards completing assignments efficiently. Working with minimal supervision.
  • Checking for errors in patient charts. Verifying demographics and financial information including verifying continued eligibility with patients upon checking in. Updating patient charts and computer files.
  • Providing assistance to staff that may need additional training or coaching.
  • Implementing departmental policies and educating staff and patients regarding the implications of the same.
