About The Position

The Dental Patient Services Receptionist is a key member of the dental clinic team and serves as the first point of contact for patients, visitors, and staff. This fast-paced, detail-oriented position provides exceptional customer service while coordinating patient scheduling, managing multiple phone lines, verifying insurance eligibility, maintaining accurate patient records, and supporting the efficient daily operations of the dental front office. The receptionist works closely with dental providers and other departments throughout the clinic and Tribal organization to ensure seamless patient care. The ideal candidate is professional, organized, courteous, and committed to creating a welcoming environment for every patient.

Requirements

  • High school diploma or GED required.
  • Basic computer skills, including keyboarding proficiency of at least 45 words per minute.
  • Excellent verbal and written communication skills.
  • Ability to maintain strict confidentiality in accordance with HIPAA standards.
  • Ability to read, understand, and follow written and verbal instructions.
  • Ability to operate standard office equipment, including computers, multi-line telephones, copiers, scanners, and fax machines.
  • Strong organizational skills and attention to detail.
  • Ability to provide courteous, professional customer service in a fast-paced environment.
  • Must be able to comply with the Lower Elwha Klallam Tribe policies and procedures, including the Drug Free Workplace.
  • Must be able to travel for training purposes or meetings.
  • Offer of employment is contingent upon successful background check and pre-employment screening per clinic policy.
  • All Health Department employees must be fully immunized against vaccine-preventable disease consistent with current IHS and CDC recommendations for health care workers.

Nice To Haves

  • Knowledge of dental terminology through education, training, or experience.
  • Experience working in a dental or medical office.
  • Knowledge of Indian Health Service (IHS) policies, procedures, and electronic health record systems.
  • Knowledge of HIPAA regulations governing patient privacy, medical records, and information release procedures.

Responsibilities

  • Greet patients and visitors while providing professional, courteous customer service.
  • Coordinate daily front office operations in a fast-paced dental practice.
  • Schedule and manage appointments for multiple dental providers by phone and in person.
  • Check patients in and out using the electronic health record (EHR) and scheduling systems.
  • Answer and route incoming calls using a multi-line telephone system, respond to voicemail messages, and assist with patient inquiries.
  • Confirm upcoming appointments and assist with patient recall and follow-up scheduling.
  • Collect, verify, and update patient demographic, registration, and insurance information to ensure accurate electronic records.
  • Verify eligibility and benefits for commercial, Medicaid (ProviderOne), Medicare, and other third-party insurance plans.
  • Prepare, maintain, and update patient records in the electronic health record (EHR) system.
  • Coordinate communication between patients, providers, and clinical staff to ensure efficient patient care.
  • Maintain the confidentiality of patient information in compliance with HIPAA and organizational policies.
  • Perform other related duties as assigned.
  • Assist other clinic staff as needed to support efficient clinic operations.
  • Participate in cross-training to support front office and clinic operations as needed.
