Requirements

  • High school diploma or equivalent required.
  • Position is entry level and requires 0-3 years’ experience preferably in a medical office setting.
  • Knowledge of medical terminology and coding a plus.
  • Must have excellent communication skills, written and verbal.
  • Proficiency in Microsoft Office (Outlook, Word, Excel) required.

Responsibilities

  • Scheduling patient appointments and tests in an efficient and timely manner.
  • Greeting patients and their guests into the clinic in a prompt, courteous, and professional manner.
  • Serving as a liaison between patients and medical staff.
  • Supporting and adhering to the New York Oncology Hematology Compliance Program, including the Code of Ethics and Business Standards.
  • Demonstrating an understanding of patient confidentiality to protect the patient and clinic/corporation.
  • Adhering to confidentiality, state, federal, and HIPAA laws and patient records guidelines.
  • Verifying date of birth.
  • Obtaining all appropriate forms as required.
  • Answering incoming calls and messages related to scheduling; addressing callers’ needs and directing to appropriate department if needed.
  • Obtaining and communicating messages in an accurate and timely manner.
  • Scheduling new patients, patient referrals, and returning patients in the computer system in accordance with physician and/or office guidelines.
  • Receiving incoming referrals, creating accounts, obtaining, and entering insurance information.
  • Requesting initial records, working with provider on determining appropriate time for appointment, scheduling consult, and mailing out new patient packets.
  • Initiating all prior authorization requests and completing documentation relating to referrals in patients’ electronic medical records (EMR).
  • Communicating to patients all appointment details being scheduled and potential prep work needed, inquiring about test specifics from necessary parties and gathering patient information as needed.
  • Adhering to scheduling template containing physician meetings, satellite schedule, rounding, and call coverage.
  • Preparing correspondence, memos, forms, and other typing as requested by supervisor.
  • Responsible for timely and effective processing of EMR orders, including timely completion of chart messages.
  • Working the bump list and no-show reports in a timely manner.
  • Monitoring order queues as assigned to meet metrics designated by practice.
  • Canceling/rescheduling appointments according to physician schedule changes; notifying appropriate personnel.
  • Complying with no show process and policy.
  • Working closely with Front Office Supervisor & Nursing Supervisor to achieve optimal scheduling within the infusion room.
  • Responsible for meeting appropriate metrics and a checklist provided by supervisor.
  • Arranging for patients to have financial counseling as needed.
  • Covering for other front office functions as requested.
  • Floating as needed and/or assisting other sites remotely.
  • Performing other duties as assigned.
