The Patient Service Representative (PSR) is responsible for creating the initial electronic health record, which serves as the foundation for patient medical records used by the entire healthcare team. This role is crucial for preventing duplicate medical records, ensuring patient safety, and maintaining accurate billing. The PSR checks in and registers patients, gathers and verifies demographic, guarantor, and insurance information, and collects co-pays and other out-of-pocket expenses. Maintaining patient confidentiality in accordance with HIPAA is paramount. The role requires knowledge of insurance basics, understanding of contracted plans, and the ability to discuss financial obligations with patients, referring them to Financial Advocates when necessary. The PSR must also be knowledgeable about government regulations such as HIPAA, EMTALA, and others, obtaining necessary signatures for compliance. Additionally, the PSR may schedule appointments, coordinate cancellations and reschedules, provide detailed information about test preparations and facility directions, and manage visit closures. They are responsible for creating a welcoming environment, demonstrating excellent customer service, answering telephones, and maintaining positive public relations. The PSR may also assist with tasks like e-scanning documents, managing faxes, handling in-basket messages, and supporting clinical teams with emergent needs. Monitoring electronic health record work queues and potentially assisting with orientation and training are also part of the role.
