The Patient Service Representative is responsible for creating the initial electronic health record, which serves as the foundation for the patient medical record used by the entire healthcare team. This role is crucial for preventing duplicate medical records, which can lead to safety and billing issues. The representative must ensure patient safety by positively identifying patients before care delivery, adhering to organizational mandates and accrediting body requirements. Key duties include checking in and registering patients, verifying demographic and insurance information, and collecting co-pays. Accurate registration is vital for timely payments and preventing billing problems. The role also requires maintaining patient confidentiality in accordance with HIPAA, understanding insurance basics, and knowing which plans Advocate Health contracts with. Financial information and obligations are discussed with patients, with referrals to Financial Advocates made when necessary. Compliance with government regulations such as HIPAA, EMTALA, and others is essential, requiring knowledge of relevant forms and procedures. The representative may also schedule appointments, provide detailed information about test preparations and procedures, perform visit closures, and educate patients on the patient portal. A welcoming and professional environment is maintained through exceptional customer service, including greeting patients, answering phones, and collaborating effectively with staff. Proactive communication of customer service issues and process improvement opportunities to management is expected. Assistance may be offered to patients with transportation, directions, wheelchairs, and interpreter services. Additional responsibilities may include e-scanning documents, managing faxes, addressing in-basket messages, and following clinical team directions for emergent needs. Monitoring and working electronic health record work queues and assisting with orientation and training are also part of the role.
