Responsibilities include gathering charge information, coding, entering into the database, completing the billing process, and distributing billing information. The role also involves filing insurance claims, assisting patients with insurance forms, and processing unpaid accounts by contacting patients and third-party payers. This position acts as a liaison between the patient and medical support staff, greets patients and visitors courteously, checks in patients, verifies and updates insurance information, and obtains necessary signatures. The Patient Service Representative assists patients with ambulatory difficulties, maintains the appointment book, follows office scheduling policies, and provides front office phone support. They screen visitors, respond to routine information requests, and are responsible for gathering, accurately coding, and posting outpatient charges. The role processes vouchers and private payments, updates registration screens, researches address verification, and helps process mail return and outgoing statements. They acquire billing information for all doctors for all patients seen in practice, perform cashiering functions including monitoring and balancing the cash drawer daily, and prepare daily cash deposits. The position receives payments from patients, issues receipts, codes and posts payments, and maintains required records, reports, and files. They work with patients to secure prepayment sources or financial agreements, participate with other staff to achieve account resolution, and assist with outpatient coding and error resolution. The role processes edits and Customer Service and Collection Requests within specified time frames, identifies trends, and communicates problems to management. They update the patient account database, maintain and update current information on physicians’ schedules, and schedule surgeries, ancillary services, and follow-up outpatient appointments and admissions. The Patient Service Representative answers questions regarding patient appointments and testing, assembles patient charts for the next day’s visit, and updates patient profiles for completeness and accuracy. They oversee the waiting area, coordinate patient movement, and report problems or irregularities. The role assists patients with questions on insurance claims, disability insurance benefits, home health care, medical equipment, and surgical care. They process benefit correspondence, signatures, and insurance forms to expedite payment of outstanding claims and assist patients in completing forms for hospitalization or surgical pre-certification. The position follows up with insurance companies to ensure coverage approval, posts all actions, and maintains permanent records of patient accounts. They answer patient questions and inquiries regarding their accounts, confirm workers’ compensation claims, and prepare disability claims. The role follows up with insurance companies to ensure claims are paid, maintains files with referral slips, medical authorizations, and insurance slips, and researches information needed to complete the outpatient billing process. They code information about procedures performed and diagnoses on charges, key charge information into an on-line entry program, and process and distribute copies of billings according to clinic policies. The Patient Service Representative assists with outpatient coding and error resolution, pulls charts for scheduled appointments in advance, and delivers, transports, sorts, and files returned charts. They pick up lab reports, dictations, X-rays, and correspondence, continually check for misfiled charts, and refile according to the filing system. The role maintains orderly files, files all medical reports, purges obsolete records, and destroys outdated records following established procedures. They make up new patient charts, repair damaged charts, and assist in locating and filing records. The position works with medical assistants and other staff to route patient charts to the proper location and follows medical records policies and procedures. They collect payments at the time of service for daily outpatient visit services, review each account via computer to ensure timely payments, and perform collection actions including contacting patients by telephone and resubmitting claims. The role evaluates patient financial status and establishes budget payment plans, reviews accounts for possible assignment to a collection agency, and makes recommendations to the Clinical Department Practice Manager. They identify and resolve patient billing complaints, participate with other staff to follow up on accounts until zero balance or turned over for collection, and participate in educational activities. The Patient Service Representative gathers and verifies superbills for the specified practice daily, enters all charge and same-day payment information for patient visits and hospital patients, and verifies the accuracy of coding, charging, and patient insurance status. They print daily reports, verify charge entry balancing at day end, back up and close computer files daily, and log as appropriate. The role registers new patients after verifying patient status on computer inquiry, updates financial information as indicated, and maintains strict confidentiality. They participate in educational activities and perform related work as required.
