The Patient Service Representative (PSR) is responsible for creating the initial electronic health record, which serves as the foundation for patient medical records used by the entire healthcare team. This role is crucial for preventing duplicate medical records, ensuring patient safety, and avoiding billing problems. The PSR positively identifies patients using organizational mandates to ensure patient safety prior to care delivery. They also check in and register patients, collect and verify demographic, guarantor, and insurance information, and discuss and collect co-pays and other patient out-of-pocket responsibilities. Accurate registration information is vital for timely payment and preventing billing issues. The PSR must maintain patient confidentiality in accordance with HIPAA, understand insurance basics, recognize different plan types, and know which plans Advocate Health (AAH) contracts with. They are responsible for understanding and discussing financial information with patients, knowing when to refer patients to Financial Advocates, and ensuring compliance with government regulations such as HIPAA, EMTALA, and others by enforcing necessary rules and forms. The role may involve scheduling appointments (including virtual and procedural), coordinating cancellations and reschedules, managing waitlists and recall requests, providing detailed information about test preparations and procedures, performing visit closures, and educating patients on the patient portal/app. The PSR creates a welcoming environment through exceptional customer service, greeting patients and visitors, answering telephones, screening calls, and taking messages. They maintain excellent public relations, collaborate effectively with others, and proactively communicate customer service and process improvement opportunities to management. Additional assistance may be offered to patients, such as arranging transportation, providing directions, locating wheelchairs, and coordinating interpreter services. Responsibilities may also include e-scanning documents, managing faxes and in-basket messages, and following directions for emergent needs. The PSR monitors and works assigned electronic health record work queues and may assist with orientation and training.
