The Patient Service Representative creates the initial electronic health record, which serves as the foundation for the patient medical record utilized by all members of the healthcare team. This role is crucial for preventing duplicate medical records that can lead to treatment safety issues and billing problems. The representative ensures compliance with accrediting bodies' mandates for positive patient identification before care delivery to ensure patient safety. They also check in and register patients, obtaining and verifying complete demographic, guarantor, and insurance information, and discussing and collecting co-pays and other out-of-pocket patient responsibilities. Accurate information at registration ensures timely payment and prevents billing issues and patient complaints. Maintaining patient confidentiality in accordance with HIPAA is paramount. The role requires knowledge of insurance basics, including commercial and government plans, understanding Advocate Health contracts, and knowing when a statement of financial responsibility is needed. Financial information and obligations are discussed with patients, with referrals to Financial Advocates as necessary. The representative must be knowledgeable about rules, forms, and questions required for compliance with government agencies and regulations such as HIPAA, EMTALA, Consent for Treatment, Patient Rights and Responsibilities, IMM, MOON, Notice of Privacy Practices, MSPQ, and ABN, obtaining necessary signatures. Additionally, they may schedule appointments, coordinate cancellations, reschedules, and recall requests, and provide detailed information regarding test preparations, arrival times, and guidelines. The role involves creating a welcoming environment through extraordinary customer service, greeting patients and visitors, responding to requests, answering the telephone, screening calls, and taking messages. Assistance with transportation, directions, and interpreter services may also be provided. The representative monitors and works assigned electronic health record work queues according to department processes.
