The Patient Service Representative (PSR) plays a crucial role in the IM/Peds/Family Practice Clinic by creating the initial electronic health record, which serves as the foundation for the patient's medical record used by the entire healthcare team. This role is vital for preventing duplicate records, ensuring patient safety, and facilitating accurate billing. The PSR is responsible for patient check-in and registration, verifying demographic and insurance information, and collecting co-pays and other patient financial responsibilities. Maintaining patient confidentiality in accordance with HIPAA is paramount. The position requires knowledge of insurance basics, including commercial and government plans, and understanding when to refer patients to Financial Advocates. The PSR must also be knowledgeable about compliance regulations such as HIPAA, EMTALA, and others, obtaining necessary patient signatures. Additionally, the role may involve scheduling appointments, coordinating cancellations and reschedules, providing detailed patient preparation information, and performing visit closure. The PSR is expected to maintain excellent public relations, demonstrate a willingness to collaborate, and proactively communicate customer service and process improvement opportunities. Creating a welcoming environment, greeting patients, answering telephones, and responding to routine requests are also key functions. Advanced duties may include training new staff, patient communications, participating in committees, supporting quality improvement projects, and assisting with clinician schedules. Monitoring and working assigned electronic health record work queues is also a responsibility.
