About The Position

Responsible for clinical support of the medical office. This is a full-time position, with normal days and hours of work being Monday-Friday, 8 a.m. to 5 p.m. The role is classified as Non-exempt. The position reports to the Office Manager and/or Team Leader and exercises no supervision over others. The jobholder must demonstrate current competencies applicable to the job position and complete an accredited medical terminology course.

Requirements

  • CMA, RMA, ABR-OE, CNA or QMA REQUIRED.
  • Minimum of 6 months experience in a clinical (public health) setting and clerical experience.
  • Knowledge of reception tasks, clinic policies/procedures, paperwork processing.
  • Knowledge of office equipment, including phone and computer.
  • Knowledge of patient service concepts and techniques.
  • Knowledge of HIPAA regulations.
  • Knowledge of medical terminology.
  • Skill in using office equipment satisfactorily and handling paperwork/filing adequately.
  • Skills in using EMR’s/EHR’s.
  • Skill in patient service principles by creating a pleasant office environment.
  • Ability to communicate clearly and professionally in person, on the phone and email.
  • Ability to establish/maintain cooperative relationships with the patients, physicians and staff.
  • Ability to organize and prioritize tasks effectively.
  • Ability to read, listen, understand and follow oral/written instructions. Can file correctly by alphabet or numeric filing system.
  • Minimal travel between JWM offices by personal vehicle. Must have valid driver's license and current auto insurance.

Responsibilities

  • Assigned as Runner: Maintains a consistent flow of patients to exam room, takes vitals, documents information for providers. Transmits medical information to requesting parties via secure email or fax. Cleans and stocks exam rooms, including dictation areas. Prepares exam rooms for procedures. Maintains pharmaceutical closet by keeping it organized and disposing of expired medication. Uses computer system to generate information necessary for billing purposes and enters referral information. Collects Co-pays and previous balances on account. Maintains clean, orderly waiting area, including reading materials. Supplements office staff as reception tasks permit by assisting with photocopying, computer input, typing, and scheduling appointments as needed. Prints and distributes schedules for the following day to appropriate employees and physicians. Provides continuity of care. Perform other duties, as assigned.
  • Assigned as Triage: Triage and return patient calls with information provided by and at the direction of the physician. Reviews patients chart and collects all pertinent information for physician. Educates patients and families as appropriate. Documents patient information and care provided in patient record. Transmits medical information to requesting parties via secure email, fax, or portal. Medication prior authorization. Reviews each chart for accuracy and completion before releasing the chart for a patient visit.
  • Test Scheduling: Schedules all outpatient tests/procedures. Completes MRI logs and sends paperwork to appropriate person. Obtains all pre-certification required for appointments and testing. Documents patient information and authorization in HER.
  • Other duties, if assigned to Botox program (internal only): Precertification of Botox procedure including medication, EMG Guidance, and injection. Schedules specialty pharmacy deliveries to office. Maintains Botox inventory and transfer logs. Maintains month end inventory log. Collects outstanding Botox balances. Prepares Botox vial, fee tickets and schedules for delivery to other offices. Schedules Botox appointments for all providers. Communicates effectively with patients, providers and staff members. Travels (10%) to office locations to deliver Botox.
